Job summary

Integrity House is seeking an Executive Assistant to act as a strategic partner to our President & CEO. This on-site role in Newark, NJ will manage calendars, travel logistics, prepare executive communications, and support cross-functional operations.

The ideal candidate will handle confidential information with discretion, coordinate leadership meetings, and draft polished presentations. A bachelor’s degree and 5+ years supporting C‑Suite executives are required.

Qualifications

  • Minimum of 5 years of experience supporting C-Suite executives.
  • Bachelor’s Degree in Business, Communications, or related field, required.
  • Advanced proficiency in Microsoft Office Suite and workspace tools.
  • Proven ability to handle confidential information discreetly.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Strong organizational skills with flawless attention to detail.

Responsibilities

  • Manage complex calendars and scheduling for the CEO and Senior Leadership Team.
  • Coordinate seamless domestic and international travel logistics.
  • Draft, proofread, and format executive correspondence and presentations.
  • Screen incoming communications and prioritize urgent matters.
  • Serve as the central communication bridge for the CEO.
  • Organize leadership meetings, including agenda creation and logistics.
  • Record detailed meeting minutes and track action items.
  • Draft company-wide announcements on behalf of the CEO & Senior Leadership Team.
  • Align internal messaging with the agency’s mission, vision, goals, values and branding.
  • Coordinate and/or support organized town halls, webinars, and large corporate events.
  • Maintain confidential risk registers and compliance documents.
  • Coordinate logistics for crisis management and continuity planning as needed.
  • Track regulatory deadlines and policy updates, as needed.
  • Oversee assigned committees, ensure logistics for event coordination and communication.

Integrity House is seeking a highly skilled Executive Assistant to act as a strategic operational partner to our President & CEO. Located on-site at our flagship campus in Newark, NJ, this critical role serves as the central hub of executive operations, internal and external communication and cross functional collaboration across the agency.

The ideal candidate will expertly manage complex calendar gatekeeping, coordinate travel logistics, draft corporate presentations, and support organizational events. This isn’t just an administrative role; it is the ultimate vista point in a fast-paced, mission-driven organization. Primary Duties and Responsibilities

Executive & Administrative Support:

  • Manage complex calendars and scheduling for the Chief Executive Officer & the Senior Leadership Team.
  • Coordinate seamless domestic and international travel logistics.

Cross-Functional Team Collaboration:

Communication & Public Relations:

  • Draft company wide announcements on behalf of the Chief Executive Officer & the Senior Leadership Team.
  • Align internal messaging with corporate communication consistent with the agency’s mission, vision, strategic goals, values, and branding.
  • Coordinate and/or support organized town halls, webinars, and large corporate events.

Risk Management & Committee Engagement:

  • Maintain confidential risk registers and compliance documents.
  • Coordinate logistics for crisis management and continuity planning as needed.
  • Track regulatory deadlines and policy updates, as needed.
  • Oversee assigned committees, ensure logistics for event coordination, tracking dates, communication, entertainment, etc.

Qualifications:

  • Minimum of 5 years of experience supporting C-Suite executives.
  • Bachelor’s Degree in Business, Communications, or related field, required.
  • Advanced proficiency in Microsoft Office Suite and workspace tools.
  • Proven ability to handle confidential information discreetly.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Strong organizational skills with flawless attention to detail.

Required Licensing or Certifications:

  • A valid NJ Driver’s License, required.

Work Schedule:

Monday through Friday from 9am-5pm with flexibility to work outside of normal business hours occasionally

Salary: $55,000.00 per year
