Job summary

Clarion Partners seeks an Executive Assistant to support the CFO and Corporate Accounting team in the NY office. You will manage the CFO’s day-to-day activities, handle confidential information, screen inquiries, schedule meetings, arrange international travel, and prepare materials for taxes and board communications.

The role requires a Bachelor’s degree and 7+ years in a financial services setting, with meticulous organization and discretion.

Qualifications

  • Bachelor’s degree required.
  • 7+ years of experience, preferably with experience in the financial services industry.
  • Effective interpersonal, communication and written skills, strong planning and critical thinking skills, an independent self-starter, responsible, energetic, dependable, and capable of organizing and prioritizing a highly diverse workload.
  • This individual must be able to work with minimal direction, exercise good judgment and creativity, and work in a fast-paced, team-oriented, professional environment.
  • Demonstrated ability to maintain confidentiality and use good judgment in making independent decisions with a high degree of tact and diplomacy.
  • Experience arranging complex and extensive travel, domestically and internationally, is essential.
  • Experience handling tax processing and mailing IRS tax filings.
  • The ability to interact effectively and professionally with all levels of staff is mandatory.
  • A high degree of poise, positive attitude, engagement in the business and team spirit is essential.
  • Advanced skills using the following technical tools is necessary for this position: Microsoft Word, Excel, PowerPoint and Outlook; Concur; Workday; MS Teams; Adobe Acrobat (Professional); AdobeSign.

Responsibilities

  • Coordinate travel arrangements, domestic and international, including car service and detailed agenda preparation, focusing on quality and cost savings.
  • Process travel expense reports and Conference Requests through Concur.
  • Check requests/vendor invoices/payment entries in Workday.
  • Calendar management and scheduling.
  • Organize meetings including conference room reservation, AV and catering, and setup/breakdown of meals.
  • Assist in generating PowerPoint presentations and coordinate slides from different sources.
  • Create, manage, track and execute documents in Adobe.
  • Support monthly tax filing deliverables and respond to time-sensitive tax notices with accounting partners.
  • Maintain confidentiality of Executive Compensation data and Board materials.
  • Screen, respond to and direct inquiries promptly and professionally.
  • Coordinate backup administrative coverage as needed.
  • Other duties as assigned.

Clarion Partners is seeking an Executive Assistant to support the Chief Financial Officer (CFO) and members of our Corporate Accounting team in the NY office. The successful candidate must be able to manage the day-to-day business activities of (the) CFO; demonstrate the ability to handle confidential information with discretion; prioritize and handle internal and external correspondence; screen incoming calls in the most professional manner; schedule meetings and maintain daily and long-term calendar; coordinate meetings and materials preparation; make all necessary travel arrangements; handle all incoming and outgoing mail; maintain coordination of all external participation activities. The individual must accept responsibility, be self-motivated, solve moderately complex issues independently and apply sound judgment in accomplishing assignments. Providing status and management of projects and business activities is critical.


Responsibilities include, but are not limited to, the following:



  • Coordination of travel arrangements, domestic and international (including car service and detailed agenda preparation), focusing on quality of travel experience as well as cost savings.


  • Process travel expense reports and Conference Requests through Concur


  • Check requests/vendor invoices/payment entries in Workday.


  • Calendar management and scheduling.


  • Organize meetings including conference room reservation, AV and catering (for internal and external meetings), and set up/breakdown of catered meals.


  • Assist in generating PowerPoint presentations and coordinate various slides from different sources.


  • Create, manage, track and execute documents in Adobe.


  • Operate with a high sense of urgency in supporting monthly tax filing deliverables and addressing time sensitive tax notices, and when partnering with contracted Accounting firm.


  • Exercise sensitivity and confidentiality in handling Executive Compensation data/statements and Legal Agreements, as well as Board of Director meeting material and Board resolutions.


  • Promptly and efficiently screen, respond to and direct inquiries in a professional and polite manner.


  • Carefully coordinate backup administrative coverage either as scheduled or on an as needed basis to ensure adequate team support


  • Other duties as assigned.

If based in New York, the base salary range for this position is USD $120,000 - $140,000. Actual base salary offered will be determined by several components including but not limited to the candidate’s experience, job-related knowledge, and qualifications. Base salary does not include other forms of compensation or benefits offered in connection with the advertised role. Total compensation may vary based on role, location, and individual performance. For roles located outside of Los Angeles, please disregard the posted salary range as these roles will follow a separate compensation process based on the local market.
