Position Summary

We are looking for a highly organized and proactive Executive Assistant to join Manulife Investment Management's Private Market business to support the Global Chief Operating Officer, Private Markets. This role requires a detail oriented professional with exceptional communication, coordination and problem solving skills. The ideal candidate will thrive in a dynamic environment managing executive-level administrative tasks.

Position Responsibilities

Executive Support

  • Provide high-level administrative support to the Global COO, including calendar management, travel coordination, and expense reporting.
  • Act as a gatekeeper, prioritizing and managing incoming requests, emails, and calls.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Assist in meeting preparation, including agenda setting, briefing materials, and follow-ups.
  • Perform other duties as assigned, such as taking minutes of meetings, or other administrative functions to support departmental meetings.
  • Ensure confidentiality and discretion in handling sensitive business matters.
  • Acts as back-up to other Executive Assistants on team.

Operational & Project Support

  • Support operational processes, tracking key deliverables and milestones.
  • Assist in managing relationships with internal teams and external stakeholders.
  • Help manage NYC office in partnering with other EAs, corporate real estate and vendors.
  • Identify opportunities to improve administrative processes and enhance efficiency.

Meeting & Event Coordination

  • Schedule and organize internal and external meetings, including logistics, venue arrangements, and materials preparation.
  • Take minutes and follow up on action items from leadership meetings.
  • Plan and coordinate executive off-sites and business events as required.

Qualifications & Experience

  • 5+ years of executive assistant experience, preferably in financial services, asset management or financial services.
  • Strong ability to manage complex calendars, travel arrangements, and high-volume correspondence.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and familiarity with collaboration tools (e.g., Teams, Zoom, Concur).
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Ability to work independently, anticipate needs, and exercise sound judgment.
  • Strong organizational and multitasking skills in a high-pressure environment.
  • High level of professionalism, discretion, and integrity.
  • Strong interpersonal skills and ability to work effectively across cultures
