Job summary

Qualifications

  • Bachelor's degree or equivalent experience.
  • Minimum of 5+ years executive assistant experience, preferably in financial services.
  • Proficiency in Microsoft Office Suite.
  • Knowledge of WorkDay (will train).
  • Familiar with Deal Cloud (will train).
  • Strong time management, multitasking across professionals.
  • Strong interpersonal and communication skills.
  • Detail-oriented and able to multitask in a fast-paced environment.

Responsibilities

  • Manage complex calendars across different time zones.
  • Arrange meetings and client appointments.
  • Arrange domestic and international travel.
  • Process expense reports via WorkDay.
  • Answer multiple phone lines and provide coverage as needed.
  • Relay information clearly and promptly.
  • Proactively organize materials for calls, meetings, travel.
  • Liaise with client administrative staff as necessary.
  • Monitor emails for professionals and assist as requested.
  • Perform other duties for the supported professionals.

Position Summary

Guggenheim is seeking a proactive Executive Assistant to support its Fixed Income team. This person will support executives in all administrative functions. The ideal candidate must be reliable, exercise excellent judgment, have exceptional communication skills, demonstrate strong customer service and professionalism, have the ability to handle numerous projects, and must handle a heavy work flow with a high level of accuracy. The successful candidate will have experience supporting senior level executives and be comfortable interacting with other senior members of the team and external clients in a fast paced and entrepreneurial environment. This position gives the opportunity to learn different industries within Investment Banking. The Executive Assistant role is in New York and is four days in the office and one day remote. This position reports to the Managing Director - Admin Management.

Essential Job Functions
  • Manage complex calendars in different time zones
  • Arrange meetings and appointments with clients and other counterparties
  • Arrange domestic and international business travel
  • Process expense reports via WorkDay
  • Answer multiple phone lines and provide phone coverage for other team members as needed.
  • Able to professionally relay appropriate information to callers as directed, route calls to other persons as necessary, and ensure that messages are received and conveyed promptly.
  • Proactively organize materials for calls, meetings, and travel
  • Liaise with administrative staff of clients as necessary
  • Monitor emails for professionals, as requested
  • Perform other related duties as assigned or requested by professionals they support
Preferred Qualifications
  • Proficiency in Microsoft Office Suite
  • Knowledge of WorkDay but will train
  • Familiar with Deal Cloud but will train
  • Strong time management skills and ability to manage multiple tasks for many professionals
  • Strong interpersonal and communication skills
  • Strong organizational skills
  • Ability to exercise judgment including prioritizing issues and tasks
  • Detail-oriented and able to multi-task in a fast paced environment
  • Hands-on and willing to roll up sleeves to perform any and all responsibilities needed to ensure success
  • Self-starter who is able to work with the professionals they support to identify issues and problems and proactively solve them
Basic Qualifications
  • Bachelor's degree or equivalent experience
  • Minimum of 5 plus years executive assistant experience, preferably in financial services
Salary
  • Annual base salary between $90,000 - $110,000.
  • The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
