A highly respected, collaborative midsize law firm is seeking an Executive Practice Assistant to join its Corporate Department. This is an exciting opportunity for an experienced legal administrative professional who enjoys partnering closely with attorneys, coordinating department initiatives, and serving as a trusted resource within a sophisticated corporate practice.
This role combines high-level executive and legal administrative support with department-wide coordination, making it ideal for someone who enjoys taking ownership, building relationships, and contributing beyond traditional administrative responsibilities.
What You'll Do
- Provide executive and administrative support to partners and attorneys within the Corporate Department.
- Manage complex calendars, schedule meetings, and coordinate travel and expense reporting.
- Prepare engagement letters, new matter documentation, conflict waivers, correspondence, and other administrative documents.
- Assist with attorney billing, time entry, and client matter administration.
- Coordinate department meetings, partner meetings, monthly lunches, and internal events.
- Support business development initiatives, including attorney contacts, marketing communications, and small client events.
- Partner with Human Resources, Accounting, IT, and Facilities to help keep the department running smoothly.
- Assist with attorney onboarding, training initiatives, recruiting coordination, and professional development programs.
- Prepare department communications, reports, and presentation materials.
- Support document production, proofreading, scanning, printing, and special projects.
What We're Looking For
- 3+ years of Executive Assistant, Legal Secretary, Practice Assistant, or Legal Administrative Assistant experience.
- Law firm or professional services experience strongly preferred.
- Exceptional organizational and time management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong communication, proofreading, and administrative skills.
- Professional judgment and discretion when handling confidential information.
- Advanced Microsoft Office proficiency, including Word, Outlook, Excel, and PowerPoint.
- A collaborative, proactive approach and genuine desire to support attorneys and the broader team.
