We are seeking a seasoned, high-energy Executive Assistant to support the Chief Executive Officer of the Retail/CPG division. This role is ideal for someone who thrives in a fast-paced SaaS environment and can operate with urgency, precision, and discretion. The EA will be a critical partner to the executive, ensuring day-to-day operations run smoothly and efficiently—especially across demanding schedules and extensive domestic and international travel.
Key Responsibilities
- Deliver proactive, high-level administrative support to the CEO of Retail/CPG.
- Manage dynamic calendars, prioritize appointments, and coordinate internal/external meetings across multiple time zones.
- Oversee complex travel planning, including detailed domestic and international itineraries, accommodations, and logistics.
- Act as a liaison between the CEO and key stakeholders, including clients, partners, and senior leaders.
- Prepare and edit executive-level documents, reports, presentations, and briefing materials.
- Join key meetings when needed to capture minutes and ensure timely follow-up on action items.
- Handle sensitive and confidential information with utmost discretion and professionalism.
- Monitor email communications; draft responses and manage inbound inquiries on behalf of the CEO.
- Partner with internal teams to drive alignment and execution of key initiatives.
- Anticipate needs, remove roadblocks, and manage shifting priorities with agility.
- Support special projects and initiatives as requested.
What You Bring
- 5+ years of Executive Assistant experience, preferably supporting senior executives in a SaaS or high-growth business environment.
- Demonstrated ability to manage global travel, shifting time zones, and constantly evolving priorities.
- Exceptional organizational skills and attention to detail, with a proactive, resourceful approach.
- Strong written and verbal communication skills; professional presence and poise under pressure.
- Proven ability to handle confidential matters with integrity and discretion.
- Tech-savvy and highly proficient with tools like Google Workspace, Microsoft Office, and calendar/travel management platforms.
- A self-starter mindset with a sense of urgency, ownership, and dedication to excellence.
Fully remote but must come to NYC office 1x every other month for meetings.
