As a Paul Davis Restoration Administrative Assistant, you will be tasked with professionally and compassionately answering incoming calls from potential and existing customers and vendors. You will also be the first point of contact for reaching out to sales leads from a variety of sources.
From there you record data into the Paul Davis proprietary software, accept new assignments, create job folders, maintain job boards, monitor documents sent to customers, make customer appointments and share in a variety of tasks to assist the daily operational needs of the mitigation and restoration departments.
Job Duties:
Maintain in office schedule M-F from 8am-5pm
Manage office and job workflow
Data entry for all jobs
Request new assignments when necessary
Update milestones for all TPA sites
Send contracts, etc. via DocuSign and monitor when complete
Monitor email alerts
Learn new online computer programs
Provide assistance to the Mitigation Manager, Project Manager and Owner
Wear company logo'd items daily (provided)
Represent the Paul Davis principles of honesty and integrity
Qualifications:
Min 2 years Administrative Assistant experience
Excellent verbal and written communication skills
Bilingual (Spanish) preferred
Demonstrate patience and compassion with customers
Enthusiastic and service oriented
Organized, efficient and detail-oriented
Able to multi-task
Solid record of timeliness and attendance
Able to work independently and be proactive
Strong computer skills, including Microsoft Office, Outlook, Word and Excel
