Job summary

NoCo Foundation is seeking an Executive Assistant to support the President & CEO and leadership team with high-level administrative, governance, and project management duties. This role coordinates calendars, travel, meetings, and communication with staff, trustees, donors, and partners, while maintaining confidentiality and prioritizing strategic initiatives.

Ideal candidates have 4+ years in executive support, strong organizational and communication skills, and proficiency in Microsoft Office

Qualifications

  • 4+ years of experience in executive assistant role, business administration, or a related field.

Responsibilities

  • Provide comprehensive administrative and operational support to the President & CEO and leadership team.
  • Manage complex calendars, scheduling, travel arrangements, and meeting logistics to maximize executive effectiveness and productivity.
  • Prepare correspondence, presentations, reports, briefings, and other executive materials.
  • Coordinate communications and follow-up between executive leadership, staff, trustees, donors, community partners, and other stakeholders.
  • Anticipate leadership needs, proactively resolve scheduling and administrative challenges, and ensure timely completion of key priorities.
  • Perform other duties as assigned in support of the Foundation's mission and strategic objectives.
  • Assist Leadership in managing and coordinating cross-functional projects that support organizational goals and strategic priorities.
  • Track project timelines, deliverables, action items, and progress to ensure successful completion.
  • Support planning and implementation of strategic initiatives led by executive leadership.

Description

Reporting to the President and CEO, the Executive Assistant serves as a trusted partner to the President & CEO and leadership team, providing high-level administrative, governance, and project management support that advances the Foundation's mission and strategic priorities. This position plays a critical role in coordinating executive operations, supporting the Board of Trustees and committees, assisting in the management of complex projects and initiatives, and ensuring effective communication among staff, trustees, donors, community partners, and other stakeholders.

The Executive Assistant exercises sound judgment, maintains strict confidentiality, and proactively manages competing priorities in a fast-paced environment. Through strong organizational skills, attention to detail, and a commitment to service, this position helps ensure the Foundation operates efficiently and effectively while strengthening organizational impact and governance excellence.

Requirements
Executive Leadership Support

Board Governance & Trustee Relations
  • Serve as the primary staff liaison for Board of Trustees and committee administration.
  • Coordinate board and committee meetings, including agenda development, logistics, meeting materials, and follow-up activities.
  • Prepare and maintain board records, meeting minutes, governance documents, trustee directories, and official organizational records.
  • Support trustee recruitment, onboarding, engagement, and ongoing governance activities.
  • Facilitate communication between trustees, committee members, executive leadership, and staff.
  • Coordinate board retreats, educational opportunities, and special board events.
Skills & Competencies
  • 4+ years of experience in executive assistant role, business administration, or a related field.
  • Ability to handle confidential information with professionalism and discretion.
  • Demonstrated experience supporting multiple senior staff members or complex environments.
  • Strong project management and organizational skills, with the ability to manage multiple priorities and meet deadlines.
  • Exceptional executive presence, sound judgment, and highly effective communication skills, with the ability to build trust and influence across diverse stakeholders.
  • Self-starter who demonstrates initiative, sound judgment, adaptability, and accountability in a fast-paced environment.
  • Proficiency with Microsoft Office including Outlook, Excel, Teams, and PowerPoint.
  • Experience with Asana preferred.
  • Commitment to continuous learning and a passion for the Foundation's mission, values, and the well-being of Northern Colorado communities.
Working Conditions
  • Work is typically performed in a standard office environment with no hybrid option.
  • Occasional, localized travel for community events and meetings is required.
  • Periodic, non-standard hours are required.
  • The expected hiring range for this position is $65,000 - $80,000, depending on experience.
