Job summary

HP is seeking an experienced Executive Assistant to provide advanced tactical and strategic administrative support to senior executives. The role includes calendar management, travel coordination, data preparation, and handling confidential information with discretion.

You will draft detailed meeting agendas, prepare presentations, track action items, and serve as the primary liaison with internal teams and external partners in a fast-paced, cross‑functional environment.

Qualifications

  • Experience providing advanced administrative support to senior executives.
  • Ability to manage and organize large volumes of information and records.
  • Proven track record in calendar management, travel planning, and preparing executive-level presentations.

Responsibilities

  • Perform advanced tactical and strategic administrative support tasks for upper executive‑level employees.
  • Maintain key records, compile data for reports, prepare expense reports and edit executive presentations.
  • Own executives' calendars, schedule complex meetings, manage conflicts and prioritize appointments.
  • Prepare detailed meeting agendas, take minutes, follow up on action items, and anticipate future scheduling needs.
  • Screen and prioritize phone calls and emails, respond to routine inquiries and draft responses on behalf of executives.
  • Manage all aspects of executive travel, including international trips, visa applications, travel budgets, and emergency changes.
  • Handle sensitive and confidential information with discretion and maintain strict confidentiality protocols.
  • Generate statistical and analytic reports for strategic planning and prepare presentations with relevant insights.
  • Act as the primary point of contact between upper executives and internal/external stakeholders.
  • Coordinate administrative work within the department/division and collaborate with other departments/divisions and companies.
  • Supervise entry‑level executive assistants or administrative support staff.

Job Overview

We are seeking a highly experienced and proactive Executive Assistant who provides advanced tactical and strategic administrative support to upper‑level executives. The role involves managing key records, compiling data for reports, preparing expense reports, handling executive presentations, taking ownership of executives' calendars, scheduling complex meetings, acting as a gatekeeper for communications, handling all aspects of executive travel, managing sensitive information with discretion, preparing detailed meeting agendas, and acting as a primary point of contact for stakeholders. It also coordinates administrative work across departments and creates statistical and analytic reports and presentations for executives highlighting relevant insights.

Education & Experience Recommended
  • High School Diploma / General Education Diploma (GED) / Higher Secondary education or equivalent work experience.
  • 8+ years of related work experience, preferably in senior/advanced general administrative support, office services, or a related field.
