  • Experience with travel coordination and expense management.
  • Familiarity with CRM software or database management systems (preferred).
  • Experience preparing executive presentations and reports (preferred).
  • Knowledge of corporate protocols and business etiquette (preferred).

Responsibilities

  • Manage executive calendars, schedule meetings, and coordinate appointments with internal and external stakeholders
  • Prepare and organize meeting materials, agendas, and presentations for executive leadership
  • Handle correspondence, emails, and phone communications with professionalism and discretion
  • Coordinate travel arrangements, including flights, accommodations, and ground transportation
  • Maintain confidentiality and exercise sound judgment when handling sensitive information and documents
  • Prepare reports, presentations, and other business documents with accuracy and attention to detail
  • Manage office supplies, equipment, and vendor relationships to ensure operational efficiency
  • Coordinate special projects and events as assigned by executive leadership
  • Serve as a liaison between executives and internal departments to facilitate communication and collaboration
  • Track expenses, manage budgets, and maintain financial records related to executive operations
  • Perform general administrative duties including filing, data entry, and record management

  • High School Diploma/G.E.D. required in order to compose and prepare a variety of confidential reports, tables, memorandums, etc. Associates Degree in business or a secretarial field from a business school or college preferred.
  • 3-5 years of professional experience as an Executive Assistant or in a similar administrative support role
  • Exceptional organizational and time management skills with the ability to multitask effectively
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills
  • Demonstrated ability to maintain confidentiality and handle sensitive information
  • Proficiency with scheduling software, email platforms, and project management tools
  • Excellent attention to detail and accuracy in all work
  • Professional demeanor with strong interpersonal skills
  • Ability to work independently and take initiative in a fast-paced environment
  • Experience with travel coordination and expense management
  • Familiarity with CRM software or database management systems (preferred)
