Job summary

Donor Alliance in Denver, CO seeks an experienced Executive Assistant to provide confidential administrative support to the CEO, CAO, CLO, and Board of Directors, in a fast-paced environment.   • Minimum of five years’ experience in diversified administrative support, including a minimum of two years training and experience in execution of executive level assistant responsibilities required.
  • Demonstration of strong independent judgment and initiative required.
  • Accuracy in punctuation, composition, and grammar required. Minute taking experience required.
  • Task oriented, strong attention to detail required.
  • Demonstrated organizational skills required.

Responsibilities

  • Receives and handles confidential messages and correspondence. Serves as the initial point of contact in executive’s absence. Acts as a liaison between executives and staff, management, and Board(s).
  • Schedules appointments and maintains executive, leadership and staff calendars. Daily or as appropriate, communicates information on scheduled activities, pending actions, due dates, and follow up actions required.
  • Composes letters, agreements, and memoranda for signature. Reviews outgoing messages for accuracy in grammar, punctuation, and required format.
  • Provides coordination of events and meetings for Executive Leadership, Leadership, Staff, and Board of Directors
  • Coordinates travel (meetings/seminars) for executives. Completes travel arrangements in a timely and cost-effective manner.

Executive Assistant

The Executive Assistant is responsible for providing administrative support to the OPO Chief Executive Officer (CEO), Chief Administrative Officer (CAO), and Chief Legal Officer (CLO), Donor Alliance Board of Directors, and Committees, in a fast-paced environment. This position handles details of a confidential nature and has considerable verbal and written contact with the Board of Directors, and assigned Committees which require poise, diplomacy, and courtesy.

  • Good judgment and timely action are essential. In addition, the duties performed in this position require depth of insight, awareness, and sensitivity to impact past or developing situations.
  • The Executive Assistant works closely with the Vital Impact Health Group system, and is responsible for organizing own workload, setting priorities, and meeting critical deadlines.
  • Receives and handles confidential messages and correspondence. Serves as the initial point of contact in executive’s absence. Acts as a liaison between executives and staff, management, and Board(s). Assists with incoming telephone calls as necessary, refer caller directly to executives, handles personally, or directs to appropriate staff member. Utilizes tact and diplomacy to establish and maintain cooperative relationships (internally and externally). Interacts verbally with Board members in a professional and timely manner.
  • Schedules appointments and maintains executive, leadership and staff calendars. Daily or as appropriate, communicates information on scheduled activities, pending actions, due dates, and follow up actions required.
  • Composes letters, agreements, and memoranda for signature. Reviews outgoing messages for accuracy in grammar, punctuation, and required format.
