Overview
Johns Manville is a leading manufacturer and marketer of premium‑quality insulation and commercial roofing, along with glass fibers and nonwovens for commercial, industrial and residential applications. The Executive Assistant provides proactive, high‑level administrative and operational support to the Vice President of Global Procurement & Logistics and leadership team.
Pay Range: $67,800.00–$93,200.00 Annual (subject to experience, skills and education). This position is eligible for an incentive bonus.
Key Responsibilities
- Executive & Administrative Support
- Provide comprehensive administrative support to the VP and leadership team.
- Serve as a trusted point of contact for senior leadership.
- Manage calendars, resolve conflicts and align schedules with strategic priorities.
- Coordinate Category Strategy Reviews for Category Managers.
- Coordinate domestic travel, including detailed itineraries and logistics.
- Prepare and reconcile expense reports; monitor and report on travel and entertainment spend.
- Communications & Stakeholder Engagement
- Liaise between executives and internal/external stakeholders.
- Maintain strict confidentiality when handling sensitive business and personnel matters.
- Support leadership communications with clarity and professionalism.
- Meetings, Events & Presentations
- Support preparation for supplier, operations and business review meetings.
- Assist with purchase order, invoice or contract workflow coordination.
- Plan and execute leadership meetings, including staff, pulse and town hall sessions.
- Create high‑quality executive presentations (Strategic Plans, AOP, succession planning, etc.).
- Reporting & Business Support
- Prepare weekly, monthly and annual reports highlighting goals and performance metrics.
- Maintain organized digital and physical records in accordance with confidentiality and retention requirements.
- Assist with financial tracking and interpretation of basic business metrics.
- Leverage AI‑powered tools and Microsoft 365 Copilot to improve reporting efficiency.
- Develop and maintain dashboards, reports and data summaries using Excel, Power BI or similar tools.
- Operations & Process Improvement
- Identify and implement process improvements to enhance administrative efficiency.
- Maintain and optimize standard operating procedures for team processes.
- Identify opportunities to apply AI and automation solutions.
- Support office operations including ordering supplies and kitchen coordination.
- Systems & Tools Administration
- Maintain and update organizational charts and internal portal (e.g., SharePoint) content.
- Support onboarding processes for new hires.
- Manage enterprise systems such as SAP, Ariba or contract databases.
- Workplace Support
- Support cross‑location team coordination, including JMTC facilities and headquarters.
- Assist with office logistics and shared spaces to maintain a productive work environment.
- Additional Administrative or Operational Support as needed.
Qualifications & Experience
- Bachelor’s degree or equivalent experience.
- 5+ years of experience supporting senior executives in a corporate environment.
- Demonstrated ability to manage confidential information with discretion.
- Advanced proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel, SharePoint).
- Demonstrated proficiency with AI‑enabled business tools such as Microsoft Copilot.
- Strong analytical and data reporting skills, including experience creating executive‑level dashboards.
- Thorough knowledge of electronic recruiting, expense reporting and online travel reservation systems.
- Experience with enterprise systems (e.g., SAP, Ariba or similar platforms) preferred.
- Excellent interpersonal, verbal and written communication skills.
- Superior organizational, prioritization and problem‑solving skills.
- Ability to work independently and collaboratively across all levels of the organization.
- Knowledge of financial reporting or business metrics preferred.
Work Environment & Expectations
- Office‑based role with periodic interaction across multiple sites, including WHQ and JMTC facilities.
- Hybrid work schedule.
- Minimal travel required (0–10%).
- May occasionally handle light physical tasks (up to 25 lbs).
