Executive Assistant to the CEO

About the Role
LeadMagic is a fast-growing SaaS company helping B2B teams enrich, validate, and activate data at scale. We’re looking for a proactive, detail-oriented Executive Assistant to support our CEO across daily operations, scheduling, internal comms, and special projects.
This is a high-trust, high-impact role where you’ll help drive alignment, reduce friction, and bring structure to a fast-moving environment.
What You’ll Do
Manage the CEO’s calendar, priorities, and meeting logistics
Prepare agendas, take notes, and organize follow-ups for key meetings
Draft and respond to emails and internal requests on behalf of the CEO
Create documents, slide decks, summaries, and internal updates
Coordinate hiring pipelines, content projects, and async team comms
Join Zoom meetings to capture action items and ensure accountability
What We’re Looking For
Full-time availability, 9AM–5PM EST (Monday–Friday)
3–7 years supporting executives or operations in a remote setting
️ Strong communicator, both written and verbal
Exceptionally organized with a bias toward follow-up and accountability
Comfortable with digital tools like Google Suite, Notion, and Slack
Familiarity with AI tools (e.g., ChatGPT) for drafting and automation
U.S.-based and legally authorized to work
Willing to undergo a background check
Nice to Have
Experience in a SaaS or startup environment
Project coordination or light operations experience
️ Exposure to engineering or technical recruiting
Social media content or light marketing coordination
