Job summary

Zinda Law Group in Austin, TX is seeking an experienced Executive Assistant to support the Leadership Team. This full-time role requires discretion, strong communication, and the ability to manage executive priorities while building scalable people systems.

The ideal candidate will be proactive, detail-oriented, and adept at navigating both executive and HR-focused environments, including running day-to-day logistics and handling confidential matters.

Qualifications

  • Bachelor’s degree required.
  • 3+ years of experience as an Executive Assistant, ideally supporting a C-level executive.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong interpersonal and relationship-building skills.
  • Excellent written and verbal communication skills.
  • Demonstrated proactive problem-solving and sound judgment.

Responsibilities

  • Provide executive and personal support, including calendar management, scheduling, and prioritization.
  • Draft and prepare correspondence, presentations, and confidential documents.
  • Attend meetings, take accurate minutes, and distribute notes and action items.
  • Coordinate schedules to optimize time and align priorities.

Executive Assistant to the Leadership Team

Zinda Law Group, a prestigious personal injury law firm, is seeking an experienced and highly organized Executive Assistant for our current Leadership Team.

This role is full-time and based in our Austin, TX office.

Position Overview

This position requires exceptional organizational skills, discretion,strong communication, and the ability to manage executive priorities while building andmaintainingscalablepeoplesystems. The ideal candidate is proactive, detail-oriented, and comfortable operating in both executive and HR-focused environments.

Responsibilities
  • Executive Support
  • Manage a broad range of administrative tasks, including managing a highly active calendar, scheduling meetings, preparing agendas, and compiling reports and materials.
  • Draft and prepare correspondence, presentations, and documents, including confidential and sensitive information.
  • Coordinate schedules to ensure the Executive's time is usedeffectivelyand priorities are followed and respected.
  • Act as a “gatekeeper” by creating win-win situations for direct access to time and resources.
  • Attend meetings, take detailed andaccuratemeeting minutes, and distribute notes and action items.
  • Track, follow up on, and ensure completion of action items and Defined Work using internal systems (e.g.,Notion).
  • Serve as a primary point of contact between the Executive and internal departments,maintainingcredibility, trust, and clear communication.
  • Keep the Executive informed of upcoming commitments, deadlines, and organizational issues;anticipateneeds and proactively address conflicts.
  • Support and manage special projects led by the Executive that may havefirm-wide impact.
  • Prioritize competing demands and handle matters expeditiously, proactively, and with sound judgment.
  • Manage executive business and personal calendar, including scheduling, coordination, and prioritization across both professional and personal commitments
  • Provide executive and personal support, including running errands, coordinating appointments, and handling day-to-day logistics
Qualifications
  • Bachelor’s degreerequired
  • 3+ years of experience working as an Executive Assistant, ideally supporting a C-level executive
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines seamlessly
  • Strong interpersonal and relationship-building skills
  • Expert-level written and verbal communication skills
  • Demonstrated proactive problem-solving and strong decision-making ability
  • Highly resourceful team player with the ability to work independently
  • Proven ability to handle confidential information with discretion and professionalism
  • Ability to perform in a fast-paced, high-accountability environment
  • Highly proficient in modern workplace technology, including Microsoft 365, AI-enabled productivity tools, and project management platforms, with demonstrated success using technology to optimize executive support, automate routine tasks, and enhance organizational effectiveness
