Job description

RT Specialty, a division of Ryan Specialty, is a leading wholesale distributor of specialty insurance products and services. Our experienced brokers are specialized in property, casualty, professional lines, transportation and workers' compensation, providing creative solutions to retail brokerage firms. We define ourselves through our superior execution on behalf of our clients, which has established us as a leader in the industry.

Position Summary

We are seeking a highly organized, proactive Executive Assistant to provide dedicated support to senior leadership in our Atlanta office. This is an opportunity for someone who enjoys bringing structure to a fast-moving environment, anticipating needs, and becoming a trusted partner to the executive they support.

The Executive Assistant will play an important role in managing a busy and evolving schedule, coordinating meetings and travel, preparing for upcoming commitments, and helping ensure priorities stay organized and on track. The right person will be comfortable taking ownership, exercising good judgment, and learning the business well enough to understand what needs attention, what can wait, and how to make the best use of the executive's time.

This role will initially support one senior executive, with the potential to provide support to an additional senior leader over time.

What will your job entail?
What You'll Do
  • Own and proactively manage a complex executive calendar, including scheduling, prioritizing requests, resolving conflicts, and anticipating changes.
  • Help protect the executive's time by understanding business priorities and using sound judgment when coordinating meetings and commitments.
  • Stay ahead of upcoming meetings, deadlines, travel, and follow-ups to ensure the executive is prepared and priorities continue moving forward.
  • Coordinate internal and external meetings, including agendas, materials, conference rooms, catering, and other logistics.
  • Arrange domestic and international travel, including flights, accommodations, transportation, itineraries, and schedule changes.
  • Prepare and edit correspondence, presentations, reports, and other executive-level materials.
  • Coordinate team meetings, business events, client functions, and other gatherings as needed.
  • Serve as a professional and responsive point of contact for internal and external stakeholders.
  • Track key commitments, follow-ups, and action items to help ensure important priorities don't fall through the cracks.
  • Develop a strong understanding of the business, key relationships, and leadership priorities to become an increasingly effective partner.
  • Handle sensitive and confidential information with discretion.
  • Assist with occasional personal scheduling or administrative needs.
  • Take on special projects and evolving responsibilities as the needs of the executive and business grow.
What We're Looking For
  • 3+ years of experience supporting executives, senior leaders, or teams in a fast-paced professional environment.
  • Demonstrated experience managing complex calendars and competing priorities.
  • Experience supporting more than one senior leader is a plus.
  • Strong proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Exceptional organization and attention to detail.
  • Strong judgment and the confidence to make thoughtful prioritization decisions.
  • A proactive mindset with the ability to anticipate needs and take initiative.
  • Excellent written and verbal communication skills.
  • A high level of reliability, follow-through, and personal accountability.
  • Ability to build strong, trusted relationships across an organization.
  • Comfortable adjusting quickly when schedules or priorities change.
  • Experience coordinating travel, meetings, and events.
  • Insurance or financial services experience is helpful but not required.
Education

Bachelor's degree preferred, or an equivalent combination of education and relevant professional experience.
