DCAS is seeking a highly motivated and experienced professional to serve as the Executive Assistant to the Deputy Commissioner of Administration. Reporting directly to the Deputy Commissioner, the Executive Assistant plays a pivotal role in providing day to day administrative support.
Administration offers support services to all Lines of Service through the tasks performed by several key units:
- Agency Support Services: Manages agency-wide programs such as PrintSmart.
- CityStore: Operates the City’s centralized retail and gift store, offering collectibles and official publications.
- Human Resources: Handles personnel actions, career counseling, payroll and timekeeping.
- Transportation Services: Manages a fleet of over 200 vehicles and supports City Hall automotive needs.
Duties will include, but not be limited to, the following:
- Coordination of calendar meetings for the Deputy Commissioner and organization of meetings with internal and external stakeholders.
- Coordination of professional development workshops for the staff. Includes reaching out to facilitators to schedule, coordinate calendar and book appropriate meeting space.
- Preparing written communications, such as memos, letters, PowerPoint presentations, reports, and instructional documents, as needed.
- Assisting with the hiring process for Administration staff (e.g., vetting resumes, drafting interview questions, scheduling and/or participating in interviews).
- Responsible for the onboarding process of Administration new hires including coordinating their IT equipment, software, desk readiness and welcome package materials.
- Serving as the IT liaison for Administration (e.g., securing laptops, iPads, cell phones, VPN access, data subscriptions, and approval on IT related purchases).
- Assist the Administration senior team, under the supervision of the Deputy Commissioner, on selected projects that are administrative in nature.

Minimum Qualifications
- A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
- High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
- Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.

Residency Requirement
New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
