Job Type: Full-time, regular staff member

Reports to: Senior Director of Development with day-to-day priorities coordinated with the Executive Director

Location: Rockville, MD

Work Type: Hybrid - The expectations for this position range from full-time in-office work to a blend of remote and in-office work, depending on the Park Trust's needs.

About National Park Trust

We believe our public parks, lands, and waters should be cared for, enjoyed by, and preserved by all for current and future generations. We accomplish this goal through our mission to preserve parks today and to create park stewards for tomorrow.

National Park Trust protects public lands early and expands access, so the next generation grows up connected to America’s parks. By safeguarding places before they are threatened and opening the door to meaningful park experiences, we turn access into lifelong care.

The Opportunity

National Park Trust is expanding its development capacity as it launches the initial phase of a $20 million campaign. The Executive and Development Coordinator will keep executive, board, donor meeting, and event logistics moving so the Executive Director, Senior Director of Development, and donor-facing staff can spend more time building relationships. This role suits a highly organized person who enjoys coordinating people, details, and deadlines across a small team.

Key Responsibilities

Executive and Board support

  • Manage the Executive Director’s calendar, travel arrangements, meeting preparation, and follow-through, in coordination with internal staff.
  • Schedule board and leadership meetings, prepare and distribute materials, track administrative action items, and coordinate trustee communications and logistics.
  • Coordinate in-person board meeting arrangements, including venue, travel information, materials, vendors, and on-site details; work with staff who manage time-sensitive board calls and substantive board relationships.
  • Coordinate scheduling and administrative requests involving trustees, donors, external partners, and public offices with professionalism and discretion.

Development and Campaign Administration

  • Manage scheduling, travel details, materials, and follow-up logistics for donor and campaign meetings for the Senior Director of Development and the Executive Director.
  • Assemble basic donor briefing materials and meeting packets using information and direction supplied by relationship managers and Development Operations; route substantive strategy and prospect research to the appropriate owner.
  • Coordinate the production and distribution of approved acknowledgment mailings, invitations, campaign collateral, and other in-house physical mailings.
  • Maintain organized administrative files, timelines, and task lists; communicate status and handoffs so commitments and follow-up are not lost.

Event Logistics

  • Coordinate venues, catering, audiovisual needs, supplies, vendors, invitations, mailings, RSVPs, and day-of logistics for signature events, donor gatherings, and small campaign salons.
  • Work from the audience, host, and donor experience plans set by Donor Relations and fundraisers, and from content developed with Communications and Programs.
  • Support event preparation and post-event administrative follow-through; provide attendance information to Development Operations for entry and tracking, and route donor follow-up to the assigned relationship manager.

Working Across the Team

  • Coordinate priorities with the Executive Director and Senior Director of Development, anticipate scheduling conflicts, and keep both informed of deadlines.
  • Partner with Donor Relations, Development Operations, Communications, Programs, and Finance to move approved work through the right review and handoff points.
  • Handle donor and trustee information confidentially and represent the Park Trust warmly and accurately.
Qualifications
  • Strong organizational judgment, attention to detail, and ability to manage overlapping deadlines.
  • Clear written and verbal communication and comfortable working with senior leaders, trustees, donors, and colleagues.
  • 1-2 years of experience coordinating meetings, travel, mailings, and events; nonprofit or fundraising experience is helpful.
  • Proficiency with Microsoft Office and Google Workspace; comfort learning scheduling, email, and donor systems. Experience with Canva or a CRM is helpful.
  • Ability to work independently, follow through reliably, and collaborate across functions.
  • Commitment to the Park Trust’s mission and willingness to travel locally or occasionally overnight for meetings and events.
Special Requirements

Due to our work with kids and families:

  • All staff are required to be fully vaccinated against COVID-19. Reasonable accommodations will be considered for qualified individuals with disabilities or for those with sincerely held religious beliefs, in accordance with applicable law.
  • The candidate must satisfactorily complete a criminal background check.
Physical Requirements
  • Some physical exertion, including outdoor recreation activities.
  • Lifting items up to 25-40 lbs.
  • Driver’s license and use of a car.
  • Local and overnight travel will be required.
Benefits:

  • Health and dental insurance with a vision program
  • Flexible spending account
  • Life insurance, short-term, and long-term disability insurance
  • Vacation, sick leave, and observance of all federal holidays
