Job description

Axiom is looking for a Executive Administrative Support Specialist to support the DoD in the Washington, DC area.

An active Secret or Top Secret Clearance is required to be considered for this position.

This is an upcoming opportunity contingent on contract award.

The E xecutive Administrative Support Specialist pr ovides direct administrative support to senior DOD officials and supports executive-level coordination across divisions . Manages calendars, schedules, correspondence, and logistics in a dynamic, high-profile environment.

Supports division or branch-level administrative functions including meeting coordination, internal correspondence, background research, and office operations. Ensures smooth execution of daily administrative duties.

Key Responsibilities :

  • Provide general direction, establish objectives , plan, and conduct analysis of assigned projects as directed.
  • Assist in the creation of Excel spreadsheets, including graphs, statistical analysis, and data compilation.
  • Assist in the interpretation and dissemination of guidelines.
  • Maintain office continuity during emergencies.
  • Maintain Performance Metric Reports for senior leadership.
  • Create and maintain monthly and ad-hoc reports for leadership personnel.
  • Prepare materials (correspondence, presentations, etc.) for conferences, meetings, and appointments.
  • Prepare reports, summaries, and replies to inquiries, gathering information from diverse sources.
  • Maintain office calendars, arrange meetings, and take meeting minutes.
  • Organize and maintain a centralized filing system.
  • Create, enter, save, retrieve, edit, file, and present text, spreadsheets, and charts.
  • Maintain calendars for branch / division staff (15-30 employees).
  • Review written correspondence for grammar and punctuation.
  • Assist staff in preparing materials for conferences, meetings, etc.
  • Conduct analysis of assigned projects and perform varied clerical and secretarial duties.
  • Provide oversight of day-to-day administrative actions, including short-lead suspense items.
  • Communicate new procedures to subordinate offices and request necessary information.
  • Answer phones, manage inquiries for senior leadership, maintain the office calendar, schedule meetings, take meeting minutes, and maintain the filing system.
  • Manage senior leader calendars, resolve scheduling conflicts, and coordinate meetings.
  • Prepare travel documentation using the Defense Travel System (DTS), including authorizations, orders, and vouchers.
  • Draft, edit, and format formal correspondence based on leadership input.
  • Coordinate office administrative functions including space management, events, and supplies.
  • Greet high-level visitors and serve as the face of the front office.
  • Track, monitor, and report on taskers, drills, and office action items.
  • Assist with gathering and preparing background material for leadership meetings.
  • Support development of presentations, internal reports, and routine correspondence.
  • Track and log taskers, ensuring timely responses and closure.
  • Answer phones, direct inquiries, and coordinate visitor access.
  • Assist in the formation of Excel spreadsheets, including but not limited to graphs and flow charts
  • Escort Govt personnel with the Mark Center for badge access approval
  • Assist in reviewing written correspondence for grammar, syntax, and punctuation.

Preferred Qualifications :

  • 5+ years of DoD-level executive support experience.
  • Strong Microsoft Office Suite , Adobe and DTS proficiency.
  • Familiarity with DOD component administrative processes.
  • Exceptional discretion, professionalism, and customer service skills.
  • Experience working in a government or military environment.
  • Proficiency in advanced Excel features (e.g., pivot tables, macros).
  • Experience with project management software.
  • Experience with performance metric reporting and analysis.

Clearance :

  • An active Secret clearance is required.
  • Must be a United States Citizen and pass a background check.
  • Maintain applicable security clearance(s) at the level required by the client and / or applicable certification(s).
