Responsibilities

  • Prepare and submit reports/data requests for internal and external purposes.
  • Manage and track internal schedules, programs’ services, meetings, tours, and clearances.
  • Handle documentation related to passes, orders, and purchases.
  • Support HR liaison with staffing updates and charts.
  • Coordinate trainings, conferences, and inter-jurisdiction visits.
  • Oversee communications, schedules, and documentation for the Senior Executive.
  • Manage special projects as assigned.

Job description

The New York City Department of Correction (DOC) is an integral part of the City’s evolving criminal justice system, participating in reform initiatives and strategies aimed to move the City towards the smallest jail system possible without compromising public safety. The DOC is solely responsible for maintaining a safe and secure environment for staff, visitors, volunteers, and people in custody inside our jails. Importantly, safe jails enable DOC to providing people in custody with the tools and opportunities they need to successfully re-enter their communities. The DOC operates facilities and court commands across the five boroughs with over 7,500 diverse professionals and knowledge experts.

Duties
  • Management, centralization, compilation and submission of reports/data requests for internal and external purposes.
  • Management and tracking of internal schedules to include overall programs’ services within facilities, divisional meetings, presentations, and tours; process and obtain the necessary clearances, passes/tags, and manage run-of-show.
  • Management and tracking of documentation related to passes, specific orders and purchases.
  • Support the Division’s Human Resources Liaison with required updates and charts on staffing needs.
  • Management of notifications, documentations and other aspects relevant to required trainings by members of the Division; internal coordination/preparations for conferences or visits to conferences and/or other jurisdictions.
  • Management of all communication, schedules, and documentation as required by the Senior Executive to include internal communication with the Office of the Commissioner, Senior Executive members of other Divisions/Units.
  • Management of special projects as required and assigned.

Minimum Qualifications
  • A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
  • An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
  • Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
