Responsibilities

  • Manage complex calendars, meetings, travel arrangements, and scheduling.
  • Coordinate communication between physicians, office staff, leadership, and external partners.
  • Assist with operational projects, follow-up items, and special initiatives.
  • Track priorities, deadlines, and outstanding action items to ensure timely completion.
  • Prepare reports, presentations, correspondence, and other business documents.
  • Coordinate meetings, agendas, and follow-up on key deliverables.
  • Help streamline administrative workflows and improve day-to-day efficiency.
  • Handle confidential information with professionalism and discretion.
  • Travel between office locations throughout the Tri-State area as needed.

About the Role

A growing healthcare organization is seeking a highly organized Executive Administrative Coordinator to provide dedicated administrative and operational support to one or two physicians. This is a high-level administrative position for someone who can keep busy professionals organized, ensure priorities are executed efficiently, and oversee the day-to-day coordination of their non-clinical responsibilities. The ideal candidate is proactive, detail-oriented, and able to anticipate needs, solve problems independently, and manage multiple priorities in a fast-paced environment.
