Job summary

Jobtailor in New Jersey is seeking an experienced healthcare administrator to provide comprehensive support for multiple physician practices. You will handle patient scheduling, inquiries, billing, and chart maintenance while coordinating with Epic and EMR systems.

The role requires strong multitasking, exceptional communication, and a solid background in physician office operations, including insurance pre-authorizations and travel coordination. On-site work across regional sites is expected.

Qualifications

  • Associate degree required.
  • Five-plus years physician office experience may be considered in lieu of education.
  • Minimum 2 years healthcare/medical secretary experience.
  • Some college preferred.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation.
  • Ability to follow tasks through to completion.
  • Strong organizational and problem-solving skills.
  • Ability to multitask in a fast-paced environment.
  • Ability to accurately follow directions and instructions.
  • Ability to work collaboratively as part of a team.

Responsibilities

  • Provide comprehensive administrative and operational support to several physician practices.
  • Answer phone calls and patient inquiries.
  • Schedule patient appointments, procedures, visits, follow-ups, post-ops, and ancillary tests.
  • Coordinate surgical dates in Epic and confirm pre-authorization, documentation, and pre-testing.
  • Obtain insurance pre-certifications, referrals, and authorizations.
  • Perform patient check-in/out and collect copayments and other payments.
  • Create, update, prepare, and maintain patient charts.
  • Scan documents into the EMR.
  • Complete daily batch reconciliations and submit funds according to required timeframes.
  • Manage physician calendars, arrange travel, and process travel expense reimbursements as needed.
  • Draft correspondence and prepare documents.
  • Maintain office supply inventory and order supplies as needed.
  • Coordinate with departments and facilitate communication among physicians, staff, and hospital departments.
  • Serve as backup for the Office Manager and Staff Secretary.
  • Fill short-term and long-term operational gaps in physician offices across services.
  • Manage workload, resolve operational issues, and coordinate interdepartmental challenges.
  • Commute to NYC offices and two other regional sites as required.
