Job summary

HepQuant, LLC, is seeking an Executive Assistant & Office Manager to be the trusted partner to our leadership and the engine keeping our Denver headquarters organized and efficient. You'll anticipate needs, streamline operations, and support the executive team across schedules, meetings, travel, and office services, while fostering a professional, welcoming workplace culture.

Working closely with IT, facilities, and HR, you’ll ensure smooth onboarding, vendor management, and a proactive approach

Qualifications

  • Bachelor's degree or equivalent professional experience.
  • Five+ years of executive administrative experience.
  • 1+ year of office or facilities management experience.
  • Experience supporting senior executives across locations/time zones.
  • Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational, proofreading, and attention-to-detail skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities with accuracy and professionalism.
  • Discretion and handling of confidential information.
  • Adaptive, collaborative, and change-ready.
  • Self-motivated with ownership, initiative, and accountability.

Job description

HepQuant is a clinical laboratory with headquarters in Denver and a CLIA lab in Aurora, Colorado. The HepQuant DuO Test is a Laboratory Developed Test (LDT) that enables healthcare providers to manage patients with liver diseases more effectively. It delivers information about liver cell function and portal-systemic shunting, attributes of liver disease that are associated with clinical outcomes. Results may be used by a physician in conjunction with clinical evaluation and other tests to aid in the decision to proceed with or defer invasive procedures, to monitor treatment response, or to predict disease progression and adverse outcomes, such as ascites, encephalopathy, and variceal bleeding.

What You'll Do
Executive Support
  • Manage complex calendars and scheduling for C-suite executives.
  • Prepare polished presentations, reports, correspondence, and other business documents using Microsoft Office and related applications.
  • Conduct research, gather information, and compile data to support executive decision-making.
  • Prepare and reconcile executive expense reports.
  • Handle highly confidential information with professionalism and sound judgment.
Board & Meeting Coordination
  • Coordinate all aspects of Board of Directors meetings, including agendas, meeting materials, travel arrangements, budgeting, logistics, and post-meeting follow-up.
Office & Facilities Management
  • Serve as the primary point of contact for all facility operations, including vendor management, repairs, maintenance, service requests, and building communications.
  • Partner with IT to ensure workstations, office technology, software access, and employee onboarding are fully prepared.
  • Manage office and kitchen inventory, procurement, and vendor relationships to maintain a well-stocked and professional workplace.
  • Continuously identify opportunities to improve office processes, workflows, and operational efficiency.
  • Foster an organized, welcoming headquarters environment that reflects HepQuant's commitment to excellence.
Reception & Employee Experience
  • Welcome visitors and provide a professional first impression of HepQuant.
  • Answer and direct incoming phone calls and inquiries.
  • Route mail, website inquiries, and other communications to the appropriate team members.
  • Support a collaborative and positive office culture by assisting employees and helping create exceptional workplace experiences.
Additional Responsibilities and Support
  • Partner with Sales department to schedule and coordinate meetings and catered lunches with healthcare providers offices in an economical fashion.
  • Take ownership of projects and special assignments as needed.
  • Contribute wherever necessary to ensure the success of the team and organization.
