Job Summary

The Executive Administrator Coordinator to the Chancellor's office will report directly to the Chief Public Affairs Officer, Office of the Chancellor. Work assignments and expectations are reflective of the districtwide scope of the Chancellor's office. This position is the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Chancellor and serves as a liaison to the Chancellor's direct reports and, as necessary, to the Governing Board; may organize and coordinate executive outreach and external relations efforts and oversee special projects. The Executive Administrative Coordinator to the Chancellor works independently on projects and other assignments, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion, requiring a substantial amount of tact, judgment, and initiative. Incumbents are required to be self-directed and to relieve the executive of various administrative duties.

Essential Functions
  1. 40% - Provides sophisticated calendar management for the Chancellor. Prioritizes inquiries and requests while troubleshooting conflicts; makes judgments and recommendations to ensure smooth day-to-day engagements; makes travel arrangements.
  2. 20% - Acts as a liaison and provides support to the CEC Chancellor's direct reports and other Chancellor management or project teams. Arranges and handles all logistics for meetings and events; schedule meetings and draft agendas.
  3. 10% - Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Chancellor, including those of a highly confidential or critical nature.
  4. 10% - Works closely with the Chancellor to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Anticipates the Chancellor's needs in advance of meetings, conferences, etc.
  5. 10% - Exercises independent judgment and confidentiality in communicating and disseminating information regarding district policies and procedures.
  6. 10% - Prioritizes conflicting needs, handles matters expeditiously, and proactively follows through on projects to successful completion, often under deadline pressure.
Minimum Qualifications

Bachelor's Degree from a regionally accredited institution in business administration and six (6) years of varied and increasingly responsible and complex office, secretarial or administrative office support experience, including public contact. A minimum of two (2) years of experience supporting C-Suite executives.

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Special Requirements

Licenses, Registrations, or Certifications: Possession of a valid Arizona Class D Driver's License may be required for some assignments.

Preferred: Master's degree preferred

Desired Qualifications
  1. Masters Degree in Business, Public Administration or related field.
  2. 4 years or more experience supporting C-suite executive
  3. Experience with special event management or support.
  4. Experience with community relations or communications.
