  • 8–10 years of administrative or executive support experience in fast-paced or government environments.
  • Experience working with senior executives or flag-level leadership (military or civilian).
  • Strong organizational, multitasking, and prioritization skills with exceptional attention to detail.
  • Excellent written and verbal communication skills; ability to prepare polished and professional documents.
  • High level of discretion and ability to manage sensitive information in classified environments.
  • Proficiency with Microsoft Office Suite, Teams, SharePoint, and collaboration tools.
  • IAAP CAP certification or similar, preferred.

Responsibilities

  • Provide comprehensive administrative support to senior leaders, including calendar management, meeting coordination, and correspondence.
  • Manage complex scheduling requirements, including classified and unclassified meetings, secure facility access, and leadership engagements.
  • Prepare, review, and format executive documents, briefings, talking points, and presentation materials.
  • Handle sensitive information with discretion, professionalism, and strict adherence to security protocols.
  • Organize and support leadership meetings, strategy sessions, offsites, and cross-functional team workshops.
  • Coordinate logistics for meetings in SCIF/SAPF environments, including technology setup, visitor management, and security procedures.
  • Track and distribute meeting agendas, materials, and read-aheads; capture and follow up on action items.
  • Support planning and execution of all-hands events, town halls, listening sessions, and stakeholder engagements.
  • Maintain executive files, templates, trackers, dashboards, and repository systems (SharePoint, Teams, etc.).
  • Monitor deadlines and ensure leadership is prepared for key reviews, decision forums, and program milestones.
  • Assist in developing and maintaining operating rhythms, workflows, and internal communication processes.
  • Support travel coordination, expense reports, procurement requests, and other administrative processes in accordance with government and contractor requirements.
  • Serve as a central point of coordination across OCM, training, communications, strategy, and technology modernization workstreams.
  • Partner with team leads to streamline processes, track deliverables, and support integrated planning.
  • Assist in onboarding new team members, ensuring they have access, equipment, and required clearances.
  • Maintain strong working relationships with government stakeholders, contractor partners, and cross-functional teams.
  • Draft and coordinate internal communications, announcements, and updates on behalf of leadership.
  • Ensure consistent formatting and quality control across documents and presentations produced by the team.
  • Maintain logs, summaries, and documentation needed to support leadership visibility and informed decision-making.

* CONTINGENT UPON AWARD *

This is not a traditional administrative Executive Assistant role. The position serves as a trusted extension of the Executive in a classified U.S Navy Environment, providing high-level administrative support while independently managing assignments, coordinating cross-functional initiatives, driving accountability and follow-through, and taking ownership of special projects and operational responsibilities. The ideal candidate can anticipate needs, make sound decisions within established parameters, and ensure that priorities move from direction to execution.

This role in on-site in Washington, D.C. There are not remote opportunities.

Executive Support & Coordination
  • Provide comprehensive administrative support to senior leaders, including calendar management, meeting coordination, and correspondence.

The anticipated salary range for this role is$115,000 to $135,000 annually.The anticipated salary range for this position is provided in accordance with applicable pay transparency laws. The final starting salary will be determined based on a variety of job-related factors, including the selected candidate's qualifications, skills, relevant experience, education, certifications, and work location (where applicable), as well as internal equity and market considerations.
