Job summary

Chartwell Law is seeking an Events Specialist to lead planning, management, and execution of client-facing and internal firm events. You will oversee strategies, budgets, sponsorships, venues, and vendor management to ensure events align with firm goals.

You will collaborate with marketing and business development teams, coordinate travel, and analyze post-event performance to drive engagement and growth. This role may require travel and evening/weekend availability.

Qualifications

  • Bachelor's degree in Marketing, Communications, Event Management, Hospitality Management, or related field.
  • 5-7+ years of event planning, business development, marketing, or related experience in a law firm or professional services environment.
  • Demonstrated experience managing large-scale events, sponsorship programs, vendor relationships, and event budgets.
  • Ability to travel as needed, including occasional evenings and weekends. Must be near a major airport hub, preferably on the East Coast.

Responsibilities

  • Lead the planning and implementation of client-facing events, including conferences, networking events, seminars, sponsorship activations, client entertainment, and business development initiatives.
  • Lead the planning and implementation of internal firm events, including retreats, holiday celebrations, summer events, training programs, and employee engagement initiatives.
  • Collaborate with marketing and business development teams to develop event strategies that support firm growth and client relationships.
  • Evaluate sponsorship opportunities and manage sponsorship benefits, including speaker opportunities, attendee lists, booth logistics, and marketing deliverables.
  • Research, evaluate, negotiate, and recommend venues, catering, décor, entertainment, promotional materials, and other event-related vendors and services.
  • Maintain strategic relationships with external vendors and identify new vendors and event opportunities as needed.
  • Coordinate contract reviews to confirm accuracy, payment schedules, compliance, and deadlines.
  • Develop and manage event budgets, monitor expenditures, and oversee invoice review and reconciliation.
  • Oversee the firm's event calendar and monitor key dates, sponsorship obligations, planning milestones, and project deliverables.
  • Work with marketing team on invitations, registration communications, reminder emails, follow-ups, social media promotion, and content.
  • Identify target attendees and follow-up strategies with BD to maximize outcomes.
  • Oversee event records in CRM and marketing databases, including attendee engagement and ROI metrics.
  • Track and report on event performance, including attendance and client engagement.
  • Provide guidance to Events Coordinator on priorities, timelines, logistics, and execution.

Description

The Events Specialist is responsible for leading the planning, management, and execution of client-facing and internal firm events that support Chartwell Law's business development, marketing, and employee engagement objectives. This role oversees all aspects of event strategy and execution, including annual event planning, sponsorship management, vendor negotiations, budget administration, contract review, travel coordination, event marketing collaboration, and post-event analysis. Working closely with the Director of Marketing & Business Development, Business Development Manager, Marketing Manager, attorneys, firm leadership, and external vendors, the Events Specialist ensures all events are executed professionally, on budget, and aligned with the firm's brand and strategic business goals.

Primary Job Duties

  • Track and report on event performance, including attendance, client engagement, leads generated, follow‑up activities, and business development outcomes.
  • Provide guidance and direction to the Events Coordinator regarding event priorities, timelines, logistics, and execution requirements.
  • Travel to events as needed to provide leadership and logistical support before, during, and after event execution.
  • Manage multiple projects simultaneously while maintaining attention to detail, meeting deadlines, and identifying opportunities to improve processes, efficiency, event quality, and measurable outcomes.
  • Develop, document, and maintain event planning procedures, workflows, templates, efficiencies, and best practices to support consistent execution across all firm events.

Requirements

  • Experience working in a professional services environment. Legal industry experience is preferred but not required.
  • Strong organizational, project management, and strategic planning skills.
  • Proficiency with Microsoft Office Suite required.
  • Excellent written and verbal communication skills.
