Trident Booksellers & Cafe (338 Newbury Street, Boston) is a bustling independent workplace that is part bookstore, part restaurant, and part event venue. Our robust events calendar includes everything from author talks, book clubs, craft nights, trivia, and speed-friending to weddings, celebrations, corporate gatherings, and other private events.

Our Events team is looking for someone who is organized, creative, confident, detail-oriented, and self-driven to help bring these events to life.

ABOUT THE ROLE

The Events Producer is responsible for the detailed planning, coordination, and execution of Trident's private events while also providing production support for our public events program.

Once a private event is booked by the Events Director, the Events Producer becomes the client's primary planning contact and takes ownership of turning the agreed-upon event vision into a successful event. This includes everything from timelines, menus, floor plans, and BEOs to vendors, rentals, staffing needs, setup, AV, and day-of production.

Reporting to the Events Manager, the Producer also helps execute Trident's public events, recurring programs, major events, and other Events Department initiatives.

WHAT YOU'LL DO
Plan & Coordinate Private Events

Serve as the primary planning contact for assigned private event clients. Finalize timelines, guest counts, menus, floor plans, rentals, décor, AV, vendors, and other event details. Create and maintain BEOs, timelines, run-of-show documents, floor plans, and event files. Communicate event details, changes, and deadlines clearly with clients and internal teams. Anticipate logistical challenges and proactively resolve issues before event day.

Produce Events On-Site

Lead the preparation and execution of assigned private events from setup through breakdown. Coordinate event spaces, furniture, signage, décor, supplies, rentals, vendors, and equipment. Work closely with Trident's café, kitchen, bar, bookstore, and management teams. Manage event timing, client needs, guest flow, and overall event experience. Troubleshoot operational or AV issues as they arise.

Support Public Events

Help produce author events, workshops, book clubs, community programs, trivia, craft nights, and other Trident programming. Assist with setup, registration, ticketing, guest check-in, signage, book sales, AV, and breakdown. Support authors, publishers, performers, hosts, and community partners. Independently produce smaller or recurring public events as assigned.

Support Event Operations

Maintain organized event files, calendars, templates, checklists, supplies, and production materials. Ensure event details and operational requirements are complete and communicated in advance. Participate in event-readiness meetings and department planning. Help improve event workflows, organization, and guest experience.

WHAT WE'RE LOOKING FOR

We're looking for someone who:

Is highly organized and has excellent attention to detail. Communicates confidently and professionally with clients, guests, and coworkers. Can manage multiple events, deadlines, and changing priorities simultaneously. Is proactive, self-directed, and comfortable taking ownership of projects. Remains calm and solutions-oriented in a fast-paced environment. Enjoys both behind-the-scenes planning and hands-on event production. Is comfortable speaking in front of a crowd—humor and charisma are a plus! Works well collaboratively across multiple teams. Has experience in events, hospitality, catering, venue operations, project management, or a related field.

Experience with event management software, Excel, and Canva is preferred.

SCHEDULE & PHYSICAL REQUIREMENTS

This is a full-time position of approximately 35-40 hours per week and requires regular evening and weekend availability, as well as occasional holiday availability, based on Trident's event calendar.

Because this is a hands-on event production role, the position is on-site and requires the ability to assist with event setup and breakdown, including moving tables, chairs, supplies, and other event-related fixtures and carrying boxes weighing approximately 25-50 lbs.
