Job summary

CIVANA Wellness Resort & Spa in Carefree, AZ, seeks an experienced Events Coordinator to design and execute luxury events that align with CIVANA’s brand standards and client contracts. You will develop BEOs, secure approvals, and coordinate with the operations team to ensure flawless on-site execution.

Beyond logistics, you’ll foster exceptional client relationships, manage invoices, and supervise staff during events.

Qualifications

• 3–5 years in event planning, catering, or conference services in luxury settings.
• Experience with BEOs, resumes, and event logistics in hospitality.
• Proficiency with event management software and Microsoft Office.

Responsibilities

• Design and plan events aligned with brand standards and contracts.
• Develop BEOs and secure client approvals.
• Coordinate event details with operations and distribute documents.
• Oversee execution of group events with on-site teams.
• Review, finalize, and submit client invoices.
• Ensure high client satisfaction and address attendee needs.

We are seeking passionate, service-oriented, positive and hard-working individuals with a love for health and wellness, and an excitement for hospitality.

Responsibilities

• Work closely with clients to design and plan events that align with CIVANA’s brand standards and sales contracts.
• Develop Banquet Event Orders (BEOs) and secure client approvals before execution.
• Coordinate event details with the operations team, preparing and distributing BEOs and Resumes to relevant departments.
• Oversee the successful execution of group events, ensuring all aspects run smoothly.
• Internally review, finalize, and submit client invoices.
• Ensure the highest level of client satisfaction, addressing attendee needs and on-site concerns.
• Act as the main point of contact for clients and on-site staff during events.
• Maintain effective communication with internal teams by distributing updated event documentation.
• Manage in-house meeting requests and support internal event needs.

Qualifications

• Minimum 3-5 years in event planning, catering, or conference services, preferably in a luxury resort or wellness-focused environment.
• Strong organizational and multitasking abilities, attention to detail, and excellent communication skills.
• Familiarity with BEOs, resumes, and event logistics in a hospitality setting.
• Proficiency in event management software and Microsoft Office Suite.
