Job summary

Keller Williams Realty, LLC is seeking an Events Manager in Austin to oversee planning, production, and execution of large-scale events from conception to completion. You will coordinate with Marketing, Creative, Brand, Sponsorships, PR, and Technology to deliver cohesive experiences while managing budgets and timelines.

Ideal candidates will have 5+ years in event planning, strong project management and communication skills, and the ability to travel as needed.

Qualifications

  • Bachelor's degree required; four years education/experience may substitute.
  • Minimum five years of large-scale event planning experience.
  • Ability to travel up to 20 percent.
  • Flexibility to work irregular hours due to event schedules.
  • Proficiency in MS Office and Google Suite.

Responsibilities

Operations and Project Management

  • Owns events project plans and production schedules, ensuring milestones, dependencies, deliverables, approvals, and responsibilities are clearly defined and completed on schedule
  • Oversees team and vendor responsibilities to ensure alignment with the scope, creative vision, production requirements, stakeholder expectations, and attendee experience for each assigned event
  • Manages multiple vendors and production partners, maintaining accountability for scope, deadlines, service levels, and onsite performance
  • Partners with the Director/Sr. Manager, Events to develop long-term event strategies that improve production quality, operational efficiency, attendee engagement, and overall event experience
  • Collaborates cross-functionally with Marketing, Creative, Brand, Sponsorships, PR, Technology, and other internal teams to deliver cohesive event experiences
  • Tracks event budgets and production expenses, identifies efficiencies, evaluates scope changes, and supports reconciliation following each event
  • Analyzes event performance, attendee feedback, operational challenges, and production outcomes and provides recommendations for continuous improvement
  • Develops and maintains event standards, production processes, templates, documentation, and best practices that improve consistency and scalability across the event portfolio
  • Serves as an escalation point for stakeholder, vendor, production, and attendee concerns, ensuring timely and effective resolution
  • Manages speaker contracts and talent buying process for assigned events

Event Production & Execution

  • Leads the planning, production, and execution of assigned large-scale events, general sessions, meetings, activations, and special events from concept through completion
  • Partners with internal teams, creative partners, venues, and production vendors to translate event objectives and creative concepts into executable production plans.
  • Manages production timelines, technical requirements, show schedules, room sets, floor plans, production schedules, and onsite operating plans
  • Coordinates audiovisual, lighting, staging, scenic, rigging, power, internet, entertainment, and other technical production requirements in partnership with production vendors
  • Reviews production proposals, technical specifications, equipment requirements, and vendor scopes to ensure solutions appropriately support the event while maintaining budget and operational efficiency
  • Supports development and execution of show flow, rehearsals, speaker movement, presentations, entertainment, stage management, and other live program elements
  • Oversees Project Plan for event load-in, installation, rehearsals, show execution, changeovers, load-out, and onsite production activities for assigned events
  • Identifies production risks and develops contingency plans to address technical, operational, venue, vendor, and schedule challenges
  • Serves as an onsite decision-maker and escalation point, responding quickly to production or operational issues while protecting the attendee experience and overall event objectives
Qualifications
  • Bachelor's degree. Four (4) years of relevant education and work experience may be substituted for degree
  • Minimum of five (5) years of large-scale event planning experience
  • Flexibility to occasionally work irregular business hours due to event schedules, set-up and breakdown
  • Ability to lift, pull, push up to 30 pounds and move, assist and lift items of awkward weights and sizes
  • Ability to travel up to 20 percent
  • Polished and professional demeanor
  • Advanced knowledge of industry standards and trends
  • Proficiency in MS Office and Google Suite

Preferred Requirements

  • Seven (7) or more years of large-scale event planning experience
  • Certified Meeting Professional (CMP) or similar certification
