Job description

Events Executive Six Senses Crans Montana

In this role, I will manage the efficient operation of my department to provide exceptional products and services within Six Senses brand operating standards and budget.

I will work strategically with the Sales & Events Manager to develop cohesive and productive goals for my department and establish procedures/guidelines to achieve them. I will maintain an overall consistency of the Company’s vision, quality/standards and develop concepts consistent with brand identity.

Profile:

  • Bilingual in English and French, with German being an additional asset.
  • Previous experience in hotel operations, including Front Office and Food & Beverage.
  • Experience in hospitality, hotel sales, and event management.
  • Familiarity with Opera and Delphi Salesforce systems (beneficial).
  • Exceptional organizational skills with a keen attention to detail, capable of managing multiple projects simultaneously in a fast-paced environment while maintaining a strong overview of hotel operations.
  • Excellent communication skills with the ability to confidently manage client interactions in person, via email, and over the phone.

Role:

  • Coordinate catering-only event sales and support with reactive group sales with accommodation (size).
  • Prepare client proposals and contracts efficiently and promptly, follow up on business negotiations and manage confirmed business in accordance with the Sales & Event Manager.
  • Respond to client planning requests in a timely manner, ensuring all details are entered into Delphi and communicated via group resumes and Banquet and Event Orders. This includes finalizing menus, audiovisual requirements, room setups, and other logistics.
  • Coordinate event and/or group accommodation scheduling, collaborating with various departments to ensure smooth service delivery.
  • Conduct event planning visits at the hotel.
  • Communicate key details, requirements, and special needs for VIPs, large groups, and important guests to relevant departments.
  • Provide clients with local information, such as recommendations for experiences, restaurants, and transfers, to elevate the overall group experience and contribute to the success of their event.
  • Engage and liaise with external suppliers such as florists, AV providers, entertainers, and decorators to meet the specific needs of each event. Oversee the coordination of these external services to ensure timely delivery and seamless integration with the hotel’s internal operations.
  • Oversee billing and invoicing for groups & events, ensuring accuracy in charges for all event services, including catering, AV equipment, external supplier services, and accommodation. Ensure that all invoices are clear, accurate, and issued in a timely manner to the client.
  • Serve as the main point of contact for the client during their stay, providing exceptional service and promptly responding to any last-minute requests or changes. This includes coordinating with various departments to ensure all guest needs are met and handling any unexpected requirements to ensure a seamless and enjoyable experience.
  • Coordinate with the Banquet Manager, F&B Director, and Executive Chef to ensure all event F&B details are communicated effectively.
  • Assist in the preparation of the monthly Banquet Sales Report, tracking business negotiations, confirmed bookings, and lost business.
  • Alongside the Sales & Event Manager, issue all Banquet Event Orders for upcoming banquet & Events ideally 14 days before function.
  • Work closely with the Rooms Division to ensure seamless group stays, including guest arrivals/departures, departmental coordination, and guest experiences.
  • Actively participate in sales meetings and training sessions to remain informed about new offerings, seasonal menus, and hotel promotions.
  • Develop and maintain strong client relationships, ensuring a high level of customer satisfaction and encouraging repeat business and referrals.
  • Provide post-event follow-up to clients to gather feedback, ensure satisfaction, and address any concerns, contributing to the continuous improvement of service standards and client experience.
