Description

Location: Remote (Full-Time)

Travel Required: Washington, DC area & San Diego, CA (3-4 times per year)

We are seeking a highly organized and experienced Events Administrator / Conference Planner to lead the planning and execution of multiple large-scale events for the Navy SBIR/STTR (Small Business Innovation Research / Small Business Technology Transfer) program. This full-time position requires a strategic and detail-oriented individual with strong event planning credentials and a proven ability to manage both in-person and virtual engagements.

Key Responsibilities:

• Plan and manage three major conferences annually, coordinating logistics from concept through execution in locations including Washington, DC and San Diego, CA.

• Manage event components including agenda development, vendor coordination, on-site setup, and post-event evaluation.

• Administer and moderate webinars throughout the year using Adobe Connect, providing virtual support to presenters and attendees.

• Serve as the central point of contact for event communications and stakeholder engagement.

• Produce detailed planning documents, event timelines, registration materials, and summary reports.

• Work closely with outreach teams to ensure event visibility and participant satisfaction.

• Manage vendor relationships and contracts to ensure timely delivery of services and materials.

Requirements

Basic Qualifications:

• Bachelor’s degree from an accredited college or university and five (5) years’ experience in conference and event planning OR eight (8) years of experience in conference and event planning with no degree.

• Experience developing conference agendas/schedules.

• Experience coordinating with and managing event vendors.

• Proficiency with Adobe Connect or comparable platforms; experience serving as a webinar moderator.

• Excellent written and verbal communication skills.

• Strong organizational skills and the ability to juggle multiple events and deadlines.

• Team-oriented with a proactive and flexible work style.

• Willingness and ability to travel 3–4 times per year as required for event support.

Desired Additional Qualifications:

• Certified Government Meeting Professional (CGMP) or Certified Meeting Professional (CMP) credential.

• Experience working with federal or government-sponsored programs or events.

• Familiarity with virtual event platforms, online registration systems, and event evaluation tools.
