Job summary

CBRE is seeking a Meeting & Events Coordinator in New York to support the planning and execution of small to medium meetings and events within the Workplace Experience function.

You will coordinate guest services with clients, vendors, and team members, ensure room readiness, and manage event calendars and post-event follow-up while following established procedures under supervision.

Qualifications

  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to lift/carry heavy loads of 50 lbs. or more.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).

Responsibilities

  • Serve as the primary point of contact for smaller meetings and events and assist with larger ones as needed.
  • Coordinate guest services with clients, vendors, and team members (arrival, transportation, signage, displays, special needs, printing, security).
  • Create a hospitable environment for attendees, event owners, and vendors on event day.
  • Assist with conference room turnover, midday refresh, and room reconfiguration for evening spaces.
  • Respond to event activities such as supplies, equipment, food & beverage, and security needs.
  • Perform room checks and ensure audio/visual functionality; troubleshoot issues.
  • Manage a small inventory of event supplies.
  • Coordinate master meeting and events calendar for small to medium spaces and share schedule with team/service providers.
  • Assist with post-event reporting and escalation of issues as appropriate.
  • Follow established procedures and processes under supervision.

About the Role:

As a CBRE Meeting & Events Coordinator, you will assist with the coordination and execution of small to medium meetings, conferences, and events.

This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated building.

What You’ll Do:
  • Primary point of contact for smaller meetings and events. Provide support for larger and more complex meetings and events as needed.
  • Work with clients, vendors, and team members to coordinate guest services. This includes arrival experience, transportation, signage, displays, special needs requirements, printing, and event security.
  • Create a hospitable environment for attendees, event owners, and vendors on the day of the event.
  • Assist with conference room turnover and midday room refresh. Reconfigure rooms for evening indoor and outdoor spaces. Take direction from senior team members.
  • Respond to event activities such as gathering event supplies, equipment needs, food & beverage services, facility security, etc.
  • Conduct room set up, refresh, and removal of food, beverage, and service items. Maintain outlines of small space configurations, decor possibilities, and event-related event items.
  • Complete room checks and ensure technical and visual spaces are functional. Troubleshoot audio and technical issues.
  • Manage a small inventory of event supplies.
  • Coordinate master meeting and events calendar for small to medium-sized event spaces. Communicate events schedule with team and service providers.
  • Assist with post‑event reporting and reconciliation. Escalate potential issues and concerns as appropriate.
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
  • Impact through clearly defined duties, methods, and tasks are described in detail.
  • Deliver own output by following defined procedures and processes under close supervision and guidance.
What You’ll Need:
  • High School Diploma or GED with up to 2 years of job-related experience.
  • Fulfill the physical requirements associated with this role. This includes stooping, standing, walking, and climbing stairs. Must be able to lift/carry heavy loads of 50 lbs. or more.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with an inquisitive mindset.

CBRE carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for the Event Technician position is $59,000 annually [or $28.37 per hour] and the maximum salary for the Event Technician position is $60,000 annually [or $28.85 per hour]. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience.
