The Job:

Serving as the primary point of contact for clients following the contracting process, you will oversee all aspects of event planning and coordination, from initial planning through successful execution. This includes managing event details, Banquet Event Orders, room blocks, vendor coordination, timelines, and billing while working closely with our operational teams to ensure a seamless experience.

While the primary focus of this position is weddings and social events, the role may occasionally support smaller corporate meetings and group programs as business needs arise.

This highly visible role requires exceptional attention to detail, strong organizational skills, and the ability to anticipate client needs while balancing operational and financial expectations. Most importantly, you will have the opportunity to build meaningful relationships and create memorable experiences that reflect the personalized service and luxury standards of L’Auberge Del Mar.

You:

We're looking for someone who takes ownership, anticipates needs before they arise, and understands that exceptional event experiences are created through thoughtful planning, clear communication, and attention to every detail. The ideal candidate is confident working independently, thrives in a collaborative team environment, and can balance exceptional client service with the operational and financial goals of the resort.

Key Responsibilities:
  • Serve as the primary point of contact for clients planning weddings, milestone celebrations, and other social events, providing exceptional service throughout the planning process.
  • Manage multiple events simultaneously, overseeing all planning details, timelines, and logistics while ensuring deadlines and client expectations are consistently met.
  • Conduct client planning meetings, site visits, and event walkthroughs to review event details, logistics, and expectations.
  • Prepare and distribute detailed Banquet Event Orders (BEOs), event resumes, diagrams, and timelines to ensure accurate communication and seamless execution across all hotel departments.
  • Collaborate closely with Banquets, Culinary, Front Office, Reservations, Housekeeping, and other operational departments to coordinate event requirements and ensure successful execution.
  • Coordinate with wedding planners and outside vendors, including, floral, entertainment, and décor providers, to ensure all event arrangements align with hotel standards and operational requirements.
  • Manage event-related financial responsibilities, including deposits, payment schedules, food and beverage minimums, final billing, and post-event reconciliation.
  • Maintain accurate event revenue projections and update anticipated food and beverage, rental, and other event-related revenue to support departmental forecasting and financial reporting.
  • Identify opportunities to maximize event revenue through menu enhancements, upgraded experiences, additional events, and other hotel offerings.
  • Manage guestroom blocks and coordinate with the appropriate hotel departments to ensure accurate reservations, rooming lists, and billing arrangements.
  • Maintain accurate and timely event documentation, client correspondence, contracts, and financial information in Delphi and other applicable hotel systems.
  • Lead and participate in internal planning meetings as needed to ensure all departments are aligned on event details and expectations.
  • Maintain an active on-site presence throughout assigned events, working closely with Banquet Operations to oversee event details, address client needs, and ensure seamless execution from start to finish.
  • Proactively anticipate client needs, manage expectations, and resolve challenges professionally while balancing guest satisfaction, contractual obligations, and hotel operational standards.
  • Build and maintain strong relationships with clients, wedding planners, and industry partners to encourage repeat business and referrals.
  • Stay informed of wedding and social event trends, identifying opportunities to enhance the guest experience and introduce creative event offerings.
  • Provide event planning and coordination support for smaller corporate meetings and group programs as needed.
  • Participate in departmental meetings and ongoing process improvements to enhance communication, operational efficiency, and overall service standards.
Requirements
  • Bachelor's degree in Hospitality Management, Event Planning, or a related field, or equivalent professional experience.
  • Minimum of 2 years of experience in event planning, catering, or event services, preferably with a focus on weddings and social events in a luxury hotel or resort environment.
  • Strong organizational and time-management skills, with the ability to independently manage multiple events, prioritize competing demands, and consistently meet deadlines.
  • Excellent interpersonal, verbal, and written communication skills, with a commitment to delivering exceptional guest service.
  • Strong attention to detail, with the ability to anticipate client needs and ensure accuracy throughout the event planning process.
  • Proven ability to remain calm under pressure, exercise sound judgment, and proactively resolve challenges in a professional manner.
  • Strong understanding of event logistics and coordination, with the ability to learn and effectively navigate hotel operations, banquet services, and food and beverage procedures.
  • Ability to build positive working relationships and collaborate effectively with clients, vendors, and internal hotel departments.
  • Proficiency in Delphi, Microsoft Office, Social Tables, or similar event management platforms.
  • Flexibility to work evenings, weekends, and holidays as required, including on-site attendance at assigned events.
Preferred:
