Job summary

Dezerland Park Orlando is seeking an Event Associate to coordinate and manage a range of functions from birthday parties to corporate events within Florida’s largest indoor amusement park. You will serve as the primary client contact, guiding planning and ensuring a seamless onsite experience.

Ideal candidates have 3–5 years in event coordination, strong organizational and communication skills, and the ability to work evenings and weekends.

Summary

We are looking for an enthusiastic professional with a passion for special events to coordinate and manage functions ranging from small birthday parties to large corporate affairs and convention exhibitions.

The Event Associate will act as the primary point of contact for clients, guiding them through the planning process and ensuring a seamless onsite experience. This role requires strong organizational skills, the ability to anticipate project needs, prioritize tasks, meet deadlines, and a willingness to work evenings and weekends as needed.

Essential Duties and Responsibilities
  • Respond to customer inquiries and follow up within 24 hours.
  • Ensure customer profiles and event details are accurately recorded in events software.
  • Plan, coordinate, and execute client site inspections and tours.
  • Prepare, distribute, and track all event documentation, including Banquet Event Orders and event summaries.
  • Coordinate event details such as floor plans, setups, décor, entertainment, and scheduling.
  • Prioritize and arrange all logistical aspects of conventions and events, from planning through on-site execution.
  • Establish and maintain relationships with outside vendors, negotiating services to ensure quality and competitive pricing.
  • Coordinate with city offices to secure permits when required for special events.
  • Oversee event preparation, including physically assisting with table and chair placement, equipment, supplies, décor, and vendor deliveries.
  • Manage inventory of event supplies and ensure proper storage, tracking, and replenishment.
  • Manage event timelines and oversee seamless execution on event day in collaboration with the event operations team.
  • Serve as the onsite host and primary point of contact during events, ensuring client satisfaction and smooth execution.
  • Communicate all event logistics with upper management, catering, and supporting departments to ensure proper staffing, equipment, and resources are in place.
  • Conduct pre-event meetings with all relevant departments to inform of specific client requests, event needs, and operational requirements.
  • Conduct post-event evaluations alongside the event sales representative with clients to gather feedback and identify opportunities for improvement.
  • Assist with setup and breakdown of events, ensuring inventory is properly stored and accounted for.
  • Support marketing and promotional activities related to special events as needed.

Qualifications: Requirements/Qualifications
  • 3–5 years of experience in event coordination, catering, banquets, or within an entertainment/venue setting.
  • Experience with sales and event management softwares like Reserve, Tripleseat, and Cvent are a plus.
  • Excellent communication skills, including writing, proofreading, and public speaking.
  • Excellent organizational and time management skills. Ability to manage multiple projects and work assignments simultaneously.
  • Strong interpersonal skills both in person and by phone, with a high degree of professionalism.
  • Flexibility in scheduling, as Event Services operates seven days a week, 24 hours a day.
  • Must be available to work all shifts including days, nights, weekends, and holidays as required.
  • Comfortable working in a fast-paced environment with potential distractions.
  • Ability to stand for extended periods and move throughout the facility.
  • Must be able to lift and carry up to 40 pounds.
