Job summary

JPMorganChase Conference Center is seeking an Event Management Associate to plan meetings and coordinate with partners to deliver exceptional events. You will act as the single point of contact for clients and ensure a seamless planning process from initial inquiry through execution.

The role requires strong client interaction, problem-solving, and organizational skills. EMS familiarity and a commitment to outstanding service will help you excel in a fast-paced environment.

Qualifications

  • Bachelor's degree required.
  • 4+ years in hospitality, 5‑star hotels, event planning, and F&B with high-touch service.
  • Excellent interpersonal and communication skills; engage clients warmly.
  • Ability to manage guest experiences with tact and diplomacy.
  • Highly organized with strong multitasking abilities.
  • Working knowledge of audio-visual systems; proficiency in MS Office.
  • Flexibility to work in a fast-paced, diverse environment.

Responsibilities

  • Oversee meetings and events within the center; collaborate with internal partners to exceed client expectations.
  • Handle day-to-day client challenges and drive solutions while maintaining positive experience.
  • Maintain a professional, flexible, can-do attitude and deliver exceptional service.
  • Participate in daily operations meetings and weekly reviews to stay informed.
  • Execute pre/post-conference calls/meetings when applicable; manage details effectively.
  • Manage space issues and escalate unresolved matters to the lead planner or manager.
  • Cover reception desk duties: answering calls, replying to emails, greeting and escorting clients.
  • Master the EMS system to detail reservations, review requests, and generate reports.
  • Communicate with planning team and reservation holders to ensure smooth bookings.
  • Prioritize new meeting room reservations from online tools for timely processing.
  • Ensure customers are updated and offered options in a timely manner.

As an Event Management Associate in the Conference Center, you will play a crucial role in planning meetings and ensuring exceptional customer experience. Acting as the single point of contact during the planning process for clients, you will coordinate with event partners to ensure seamless event execution. The ideal candidate will excel in client interaction, problem-solving, and decision-making, while maintaining a high level of organization and composure under pressure.

Job responsibilities
  • Proactively oversee meetings and events within the designated center, collaborating with internal partners to exceed client expectations and provide personalized, high-touch customer service by meeting and greeting each client daily.
  • Effectively handle day-to-day challenges presented by clients, driving towards solutions while maintaining a positive client experience.
  • Consistently maintain a professional, flexible, and "can-do" attitude, delivering exceptional service at all times.
  • Regularly participate in daily operations meetings and weekly reviews to stay ahead and informed on events you and the team are planning.
  • Thoroughly execute pre-conference and post-conference calls/meetings when applicable, ensuring all details are managed effectively.
  • Promptly manage space issues and escrow unresolved matters to the lead planner or manager as needed.
  • Reliably cover essential reception desk functions, including answering telephone calls, returning emails promptly, and greeting/escorting clients to their meeting rooms.
  • Expertly master the usage of the EMS (Event Management System) to detail reservations, review incoming requests, and generate accurate reports.
  • Clearly serve as a strong communicator, managing correspondence between the planning team and reservation holders throughout the booking process, while providing outstanding customer service.
  • Diligently prioritize new meeting room reservations from online booking tools, ensuring timely and accurate processing.
  • Consistently ensure customers are contacted in a timely manner, updated regarding the status of their requests, and offered available options as needed.
Required qualifications ,capabilities and skills
  • Bachelors Degree Required
  • Four plus years’ experience in the Hospitality Industry, 5-Star Hotels, Event Planning and Food & Beverage with high touch customer service, demonstrating a strong foundation in customer service and organizational skills
  • Excellent interpersonal and communication skills, with the ability to engage with clients and colleagues professionally and warmly
  • Ability to effectively manage guest experiences and expectations using a high level of tact and diplomacy
  • Highly organized, with the ability to multitask and prioritize tasks effectively
  • Working knowledge of audio-visual systems. Proficiency in Microsoft Office tools are essential
  • Flexibility to thrive in a fast-paced and diverse environment
  • Willingness to work flexible shifts to cover conference center hours and locations
Perferred qualifications, capabilities and skills
  • Knowledge of the EMS booking system is a plus
