The Event Planner will be responsible for the coordination, compliance, planning and delivery of Clinical Education programs in North America as well as enterprise event planning. As the event planner, you will provide support of CE programs, both live and virtual, and ensure they are in alignment with the organization's mission and goals. You will be a proactive problem solver with exceptional communication and budget management skills.

  • Plans all details of approved education events from start to finish, including venue sourcing and negotiations, hotel room block management, vendor contracts, speaker management, travel management, event orders, catering, meeting room set-up and audio visual
  • Sets up and executes webinars as needed
  • Creates & maintains online event registration sites in CVENT
  • Determines event marketing needs and creates recruitment flyers
  • Transfers registration data into salesforce.com for lead demand generation and/or contact post event
  • Creates and sends surveys post event
  • Tracks and reports expenses to key stakeholders and communicates changes to them on a consistent basis.
  • Maintains course calendar and master tracking dashboard
  • Oversees and responsible for course attendee maintenance involving CE credits or participation letters available for each course including providing CE Participation Certificates, with appropriate attendee reconciliation and follow-up.
  • Manages the CE.Info email inbox and communication with event attendees.
  • Supports enterprise level events such as annual sales summit and DS World.
  • Provide reporting to key stakeholders detailing course attendance, ROI, key initiatives, project updates, opportunities, and challenges.
  • Communicates daily with stakeholders to plan, market, manage, support, staff, and fill education courses.
  • Review speaker contracts and expenses, ensure receipts are accounted for and prepare speaker payment requests.
  • Adheres to all policies and compliance guidelines including Code of Business Conduct, Open Payments, Business Gifts and Entertainment policy, and Anti-Corruption and Anti-Bribery.
  • Serves as the Clinical Education representative on special project teams as needed, including national symposiums or product trainings.
  • Must be proficient in Cvent, Zoom Meetings and Webinars, Microsoft applications such as Teams, Excel and SharePoint as well as Salesforce. Experience with Canva or InDesign a plus.
  • Performs other duties as assigned or as necessary
  • Ability to work a flexible schedule in multiple time zones and some evenings
  • Ability to work with professionally and with a calm demeanor

Years and Type of Experience :

  • 5+ years of meeting planning or related experience

Computer Skills:

  • Microsoft Office – Word and Excel and Teams
  • Meeting Planning Software – CVENT Certification preferred
  • Zoom Meetings and Webinar
