STI Federal is seeking a Journeyman Event Planner to support DOE program offices with planning, coordination, and execution of meetings, trainings, and conferences. Responsibilities include selecting venues, coordinating logistics, and managing attendee experience across in-person and virtual formats.

Qualifications

  • BA/BS or MA/MS degree required.
  • 3–10 years of event planning, coordination, or logistics.
  • Ability to obtain federal clearance up to Top Secret/DOE Q.
  • Experience planning events for federal agencies preferred.
  • Experience coordinating onsite and virtual events.

Responsibilities

  • Plan meetings, trainings, and conferences, in-person and virtual for DOE program offices and TA recipients.
  • Identify, research, and evaluate event venues (hotels, centers, virtual platforms).
  • Arrange meeting logistics: room setup, A/V, transportation, lodging blocks, catering, event tech.
  • Coordinate all event details from concept to completion, ensuring smooth execution.
  • Monitor activities in real time to meet client expectations and attendee support.
  • Engage with vendors, venues, and subcontractors to meet DOE requirements.
  • Manage scheduling, invitations, registration, agendas, materials, and follow-up communications.
  • Support DOE’s mission by facilitating events that enhance transparency and knowledge sharing.

Journeyman Event Planner

What You’ll Do…
Key Responsibilities & Expected Outcomes
  • Plan meetings,trainings, workshops, and conferences—both in-person and virtual for DOE program offices and TA recipients.
  • Identify, research, and evaluate event venues such as hotels, convention centers, conference facilities, and virtual platforms.
  • Independently arrange meetinglogistics, including room setup, audiovisual needs, transportation, lodging blocks, catering, and event technology.
  • Coordinate all event details from conception through completion, ensuring smooth execution and high attendee satisfaction.
  • Monitor event activities in real time to ensure client expectations are met and all attendees receive the required support.
  • Engage with vendors, venues, and subcontractors to ensure compliance with DOE and CMEI requirements.
  • Manage scheduling, invitations, attendee registration, agendas, presentation materials, and follow ‑ up communications.
  • Support DOE’s mission byfacilitatingevents that enhance transparency, collaboration, and knowledge-sharing across stakeholder groups.
Knowledge, Skills, & Abilities For Success
  • Strong organizational, time ‑ management, and multitasking abilities with the capacity to oversee multiple events simultaneously.
  • Experience coordinating both onsite and virtual events using modern platforms and tools.
  • Clear communication skills for interacting with high ‑ visibility federal stakeholders, vendors, and diverse program participants.
  • Proficiencywith Microsoft Office Suite; willingness to learn DOE systems such as STRIPES, FAST, PAGE, and PMC.
  • Ability to work independently while collaborating effectively with multidisciplinary teams.
  • Demonstrates professionalism, responsiveness, and alignment with STI Federal’s core values.
Minimum Qualifications
  • Education: BA/BS or MA/MS degree.
  • Experience:
  • 3 to 10 years of experience in event planning, coordination, orlogistics.
  • Performs all event planning duties independently at the journeyman level.
  • Clearance: Ability to obtain and/ormaintaina federal clearance up to Top Secret/DOE Q clearance levels.
Preferred Qualifications
  • Experience:
  • Experience planning events for federal agencies, especially in energy, environmental, or technical program areas.
  • Familiarity with IIJA ‑ funded programs and DOE stakeholder engagement requirements.
  • Experience supporting large-scale technicalassistancetrainings, national conferences, or multi-day workshops.
  • Knowledge of DOE standards for event materials, presentation quality, and stakeholder communication.
  • Ability to design event workflows, support documentation needs, and contribute to reporting for meeting outcomes and stakeholder participation.
Work Environment
  • Environment: Work will be performed in aclimate-controlledoffice, remotely or possibly on client sites as needed.
