Job summary

Qualifications

Responsibilities

  • Assist with event setup, room preparation, and breakdown for University events across multiple campuses.
  • Coordinate the staging, movement, and organization of event materials, supplies, signage, furniture, and equipment.
  • Support on-site event execution and serve as an operational resource for internal stakeholders and external vendors.
  • Receive, organize, label, store, and distribute event materials before and after programs.
  • Track and maintain inventory of event supplies, decor, signage, giveaways, and operational equipment.

Job description

Position Summary

Part-time staff member responsible for supporting the operational execution of University events through event setup and breakdown, inventory management, material staging, and on-site logistical support. The Events Operations Coordinator plays a hands‑on role in ensuring event materials, equipment, and vendor needs are organized, available, and executed efficiently across a wide range of institutional events.

Position Responsibilities
  • Assist with event setup, room preparation, and breakdown for University events across multiple campuses.
  • Coordinate the staging, movement, and organization of event materials, supplies, signage, furniture, and equipment.
  • Support on‑site event execution and serve as an operational resource for internal stakeholders and external vendors.
  • Receive, organize, label, store, and distribute event materials before and after programs.
  • Track and maintain inventory of event supplies, decor, signage, giveaways, and operational equipment.
  • Support loading, unloading, and transportation of event materials to and from event locations.
  • Assist with vendor load‑in/load‑out logistics and ensure vendor operational needs are met on‑site.
  • Help maintain event storage areas, ensuring materials are organized, accessible, and accurately inventoried.
  • Assist with event production tasks and operational projects as assigned by the Events team.
  • Support the Event Experience Manager and AVP of Events & Special Projects with additional event operations needs.
Experience & Educational Background
  • High School diploma required.
  • Prior experience supporting events, facilities, hospitality, operations, production, or logistics preferred.
  • Experience working in a fast‑paced environment with multiple concurrent priorities is a plus.
Skills & Competencies
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Excellent communication and customer service skills.
  • Ability to manage multiple tasks simultaneously and adapt to changing priorities.
  • Comfortable performing physically active work, including lifting, moving, and staging event materials. Basic proficiency with Microsoft Office applications.
  • Reliable, professional, and solution‑oriented.
Salary Range

$30,000 - $30,500
