Event Operations Assistant

Job Status: Continuous Part-Time

Pay & Grade: $26.21to $32.51HourlyGrade:3

Hours of Work:Up to 24 Hours per week

Initial location: Kitchener City Hall

Overview

As part of your role, you'll bebringing events to lifeby providing operational and technical support before, during, and after City-run and City-supported special events at our venues and event spaces. Ensuring all event needs are prepared and executed in a timely manner, and you'll perform risk analysis to tackle any operational or technical issues that arise. Functions as sound technician. Plus, you'll be thefriendly faceand point-of-contact for event organizers, other staff and patrons during events, making sure everything runs smoothly.

Responsibilities

  • Plans installation and other equipment requirements based on site layout and technical information, independently or in conjunction with event organizers to ensure a seamless event experience.
  • Event equipment set up; staging, sound, projectors as well as other event components (e.g., tents, tables, chairs) in accordance with established site plans.
  • Adjusts site plans as required in response to accommodate on site environmental and physical conditions on site to maximize experience based on approved changes.
  • Works with power and/or hand tools, and climbs ladders and scaffolding, as required.
  • Arranges for and performs pickup/delivery of equipment and supplies to event site location.
  • Functions as sound technician, including operating sound board (testing, mixing, volume) to maximize sound experience. Also acts as audio-visual technician for selected events.
  • Identifies, troubleshoots, and problem solves technical and operational issues before and during events and rentals (e.g., water supply, power, staging, equipment).
  • Provides on-site instructions to other event and rental support staff.
  • Dismantles equipment, staging, and performs general clean-up activities (e.g., garbage, storage).
  • Works in accordance with/under the guidance of City of Kitchener policies and procedures, OHSA, Human Rights Act, multiple collective agreements, Technical Standards and Safety Act, ESA, CSA, Fire Code, Ontario Building Code.
  • Performs risk analysis related to operational and technical issues and takes appropriate action. As well as other areas of potential exposure to the city (e.g., threatening weather, security, alcohol). Alerts staff or authorities, or acts, as directed and/or appropriate.
  • Acts as City point-of-contact for the public and/or event organizers as it pertains to setups and day of operations (other City staff may or may not be on site). Responds to customer needs.
  • Point of contact for Event Attendants assigned to assist you on your assigned projects
  • Provides onsite instruction to other Event Attendants, Event Organizers, and/or Event Volunteers as it relates to set-ups, technical and/or operational issues, and teardowns, as well as risk management-related issues.
  • Mentors new staff (co-op students)
  • Performs other related duties as assigned.

Requirements

  • Grade 12 diploma.
  • Valid MTO G class driver's license in good standing.
  • Minimum 12 months of related experience including an on-the-job period of adjustment.
  • Applied experience of sound system requirements and event/venue operations, including set-ups, monitoring, operations, troubleshooting, and teardowns, with an ability to function as sound technician for events.
  • Experience setting up and operating other job-related systems and equipment, including audio-visual equipment, projectors, laptop computers, screens, lighting, staging, and speakers, with skill in troubleshooting and dealing with technical issues.
  • Ability to monitor for and work in compliance with applicable legislation and by-laws, such as building, electrical, and fire codes and accessibility legislation.
  • Demonstrated knowledge of event management principles and practices with ability to read site maps and setup equipment accordingly.
  • Ability to research, source, and provide advice related to the acquisition of job-related equipment and costs.
  • Excellent communication and human relations skills to provide instructions to other part-time event staff assisting in event operations; act as a city point-of-contact during events for the public and/or eventorganizers; liaise with performers regarding sound and equipment needs; deal with suppliers regarding orders; and participate as an effective team member.
  • Experience with monitoring issues related to risk assessments, and alert others and/or act as appropriate.
  • Ability to participate in the safe loading, unloading, and storage of equipment and able to lift and carry up to 50lbs independently and 150 lbs. with assistance. Regularly pushes and pulls carts, dollies and power panels. Physical exertion is often required. Ability to work outdoors in heat of summer or cold of winter.
  • Ability to make pre-event pick-ups and deliveries, and to transport equipment.
  • Skilled in prioritizing work and function with limited to no onsite direction and supervision, in accordance with instructions provided.
  • Experience with providing mentorship and direction to other staff members that you will be working alongside.
  • Collaborates with performers to determine sound and other technical requirements (e.g., lighting) in accordance with information provided, with the goal of achieving optimal sound and technical quality, considering various factors (e.g., location); organizes materials and equipment, making or recommending purchases or rentals to manager, as required.
  • Skill in the use of a personal computer using email, the internet, and Microsoft software.
  • Ability to perform work outside of normal business hours in order to provide onsite support before, during, and after events, mostly in outdoor locations and may require 12-hour days with the ability to work weekends, evenings and statutory holidays as required per the event schedule.
  • Reliable with a good attitude and employment record.
