Job summary

Pahara Institute at Lone Rock seeks a dedicated events assistant to coordinate food service, space setup, and A/V for evening events. You will maintain guest communication, ensure meals meet quality standards, and help create welcoming, well-organized environments for gatherings.

The role emphasizes attention to detail, strong customer service, and the ability to adapt to dynamic event requirements. Evening hours and some weekend work are anticipated.

THE ROLE

Ensures event details are executed properly across food service, event space setup, and audio-visual needs. Maintains ongoing communication with guests throughout the event and handles any additional requests that arise. Ensures meals are served on time, fully accounted for, and meet quality standards. Maintains event space ambiance and ensures standards of cleanliness, appearance, hospitality, and service are met.

SHIFT: T

his position primarily covers the PM shift (1:00 PM–9:30 PM), including some weekends and holidays. Schedule flexibility is preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Ensure high levels of customer satisfaction, area cleanliness, and timeliness of service throughout events
  • Manage event spaces and meal periods, ensuring food stations are stocked with correct food, supplies, and signage per event details
  • Serve as point of contact with the customer's event planner for meal and break periods
  • Set ambiance and atmosphere of guest spaces (music, lighting, seating) and set up needed equipment (TVs, flip charts, speakers, standard meeting items like pens/pads)
  • Maintain high cleanliness standards in all event areas before and after service, ensuring exceptional presentation of public spaces
  • Ensure all food and beverage items are brought in from patios at end of service
  • Set up and maintain beer/wine taps and serve any liquor packages ordered
  • Facilitate nightly s'mores events and other activities as requested (karaoke, movie nights, scavenger hunts, hikes, etc.)
  • Keep snack areas stocked and ensure event areas are supplied with plateware, glasses, utensils, and napkins
  • Clean, organize, and restock event team supplies, equipment, and food/beverage storage areas; notify managers of items needing reordering
  • Accommodate guest requests during their stay and stay alert for emergency communications
  • Communicate with guests and staff via tech apps/smartphones, responding to guest needs promptly
  • Report accidents or incidents immediately; ensure the building is secure and safety protocols are followed
  • Follow emergency protocols to protect guest safety and property; elevate guest or safety issues to department leaders
  • Complete additional tasks as assigned by supervisors or managers
SUPERVISORY RESPONSIBILITIES:

No direct supervisory responsibilities

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
  • Ability to read and interpret manuals, operating instructions, and written policies
  • Clear, professional verbal and written communication with guests and staff
  • Ability to resolve problems related to service efficiency, customer satisfaction, and interpersonal dynamics
  • Ability to judge guest alcohol consumption levels and handle guest/staff complaints smoothly and effectively
  • Ability to make guest-focused decisions while balancing business interests
  • Passion for serving others and delivering high levels of customer satisfaction
  • Strong attention to detail, speed, and accuracy in performing job functions
PHYSICAL DEMANDS
  • Work is performed primarily indoors, with the ability to work at high elevation (up to 9,000 feet) in natural terrain
  • Ability to walk, bend, climb stairs, and navigate potentially slippery or icy surfaces during winter conditions
  • Ability to stand or walk for extended periods, up to an entire work shift
  • Frequent stooping, bending, reaching, and repetitive hand/arm movement
  • Ability to lift up to 50 lbs
  • May require sharing small workspaces with coworkers during busy periods
  • Requires availability for weekends, holidays, and special events
  • Potential hazards include slipping, tripping, broken glass, hot liquids, and hot food
  • Ability to see at a distance, focus on fine details, and use peripheral vision effectively
