Job summary

The Willows is seeking an enthusiastic events coordinator to guide clients from inquiry to event day, converting leads and delivering exceptional hospitality. You will manage tours, contracts, payments, and vendor coordination while ensuring clear communication with clients and the operations team.

On-site support and seamless transitions to banquet operations are essential, with a focus on social media promotion and community engagement to grow bookings. 40 hours/week, Tue–Sat, in-building role.

Qualifications

• Customer service experience required.
• Event experience preferred.

Responsibilities

• Generate and convert leads by providing exceptional client service, conducting venue tours, responding to inquiries, and achieving booking goals.
• Prepare contracts, process payments, maintain accurate CRM records, and communicate event details to the operations team.
• Guide clients through the planning process by conducting planning meetings, managing event details, coordinating with vendors, and serving as the primary venue contact for the client.
• Support a seamless event experience by welcoming clients and vendors, providing clear communication, overseeing key event milestones, and facilitating a smooth transition to the banquet operations team.
• Promote The Willows through social media management, community engagement, networking events, and relationship-building with industry partners.
