A leading company in entertainment is seeking an Event Coordinator to efficiently execute administrative functions essential for exceptional customer service. The role demands strong communication, organization, and analytical skills to manage event bookings, support sales, and uphold service quality.
Job Description:
POSITION SUMMARY:
The Event Coordinator supports the sales department in executing the important behind-the-scenes administrative functions that keep the store functioning efficiently. Without this critical role, our efforts to provide “unreasonable hospitality” would be impossible. The Event Coordinator is responsible for supporting the sales department by completing administrative duties and confirmation calls to finalize event details. Additionally, the Event Coordinator participates in the sales process and is responsible for booking a portion of our social market.

• You are able to analyze basic data to assist Operations and the Sales Team with decision-making

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Go above and beyond to meet the needs of each Special Events Guest, communicating all requests from the host to ensure contracts are updated accordingly.
• Take RFPs and calls for social events, converting them into closed “won” business.
• Conduct site tours as needed.
• Ensure accurate and prompt distribution of all paperwork for “pop-up parties,” working through the management team to ensure staffing support.
• Provide administrative support to the Sales Department, including follow-up on calls/emails/tasks with Event Hosts after the sale is “closed-won,” and communicate any changes to BEOs or updated signed contracts to Operations.
• Follow up on ARs, collect payment information, and close out remaining balances.
• Submit check requests/invoices as needed.
• Ensure Operations has the most up-to-date BEO for each event.
• Offer “upsell” opportunities to Event Hosts after the sale is “closed-won.”

Salary Range:
$10.25 - $17.75
