FoodStory Brands is seeking a highly organized, detail-oriented, and proactive Event Coordinator to support the planning, coordination, and execution of events that elevate our portfolio of owned and licensed brands. This role is ideal for an event professional early in their career who thrives in a fast-paced environment and has a passion for delivering exceptional brand experiences through trade shows, consumer activations, experiential marketing events, and industry engagements.
Reporting directly to the VP of Marketing, the Event Coordinator will support all aspects of event planning and execution, helping ensure flawless delivery from concept through post-event analysis. The successful candidate will be a hands-on executor and reliable partner, capable of supporting multiple events simultaneously while collaborating cross-functionally with Sales, Marketing, Creative, Operations, and external partners.
This position will support event execution across trade, retail, and consumer channels while helping strengthen brand awareness, consumer engagement, and business growth through innovative and impactful experiences.
Specific Duties
- Support event budget tracking, expense entry, invoicing, and reconciliation, escalating variances or concerns to the VP of Marketing.
- Support full-cycle event planning and execution, including assisting with vendor sourcing, contract administration, logistics coordination, production timelines, and on-site event support.
- Support participation in 3-5 annual trade shows, including booth setup coordination, staffing schedules, product ordering, shipping logistics, and post-event reporting.
- Coordinate and help execute 15-20 consumer and experiential marketing events annually to support brand awareness and consumer engagement initiatives.
- Coordinate and maintain day-to-day relationships with venues, agencies, contractors, suppliers, and other external partners.
- Assist in developing event timelines, project plans, and communication schedules to ensure seamless execution across stakeholders.
- Collaborate with Marketing, Sales, and Creative teams to support event concepts, promotional materials, signage, and branded experiences.
- Coordinate product sampling, promotional merchandise, giveaways, and event materials to support event objectives.
- Support event registration platforms, attendee communications, and guest experiences where applicable.
- Assist with event logistics including shipping, inventory management, and staffing coordination.
- Help ensure all event deliverables, permits, insurance requirements, and compliance standards are met.
- Track and compile event performance data, including attendance, engagement, lead generation, ROI, and overall effectiveness, for reporting to the VP of Marketing.
- Support development of post-event recaps and presentations with actionable insights and recommendations for future improvements.
- Help identify and research new event opportunities, sponsorships, partnerships, and industry events that align with brand objectives.
- Support maintenance and continuous improvement of standard operating procedures (SOPs) related to event planning, logistics, and execution.
- Support multiple event projects simultaneously while maintaining exceptional attention to detail and meeting deadlines.
Job Qualifications
- Bachelor's degree in Marketing, Business, Communications, or a related field (or equivalent experience).
- 1-2 years of experience in event coordination, experiential marketing, trade show support, or a related field.
- Experience supporting large-scale events, trade shows, and consumer activations from planning through execution.
- Some experience coordinating with vendors; exposure to contract administration is a plus.
- Demonstrated ability to support multiple projects and competing priorities in a fast-paced environment.
- Strong organizational, planning, and time management skills.
- Experience assisting with event budget tracking.
- Ability and willingness to travel at least once per month, with travel frequency varying based on business needs.
Preferred Qualifications
- Exposure to experiential marketing campaigns and consumer-facing events.
- Familiarity with product fulfillment, sampling programs, and event inventory management.
- Experience working with event technology platforms, registration systems, and project management tools.
- Demonstrated success working in a highly collaborative, entrepreneurial environment.
- Proficiency in Microsoft Office Suite, particularly PowerPoint and Excel.
- Strong communication, presentation, and stakeholder management skills.

Physical Requirements
- Ability to lift and carry up to 25 pounds occasionally.
- Must speak and write English fluently.
- Requires use of hands for typing, handling paperwork, and other office functions such as copying, sorting, and filing.
- Requires long periods of sitting and viewing computer screens.
- Ability to travel by air or car, as needed.
- Phoenix, AZ based.
