The Event Coordinator is a detail-oriented professional responsible for planning, coordinating, and executing events across the Chicago market. This hybrid role requires managing on-site and off-site event logistics, supporting event activations, and ensuring seamless event execution aligned with business goals. The Coordinator works closely with Sales and Events teams to deliver flawless event experiences.
Key Responsibilities
- Assists with planning and executing a variety of events including corporate functions, community events, and private gatherings
- Identify and pursue new business opportunities through outreach, networking, and client relationship-building
- Coordinate with vendors, venues, and internal teams to ensure all event logistics are executed smoothly
- Manage event timelines, budgets, and detailed run-of-show documents
- Support onsite event execution, including setup, breakdown, and real-time coordination
- Provide exceptional customer service and maintain ongoing communication with clients
- Track expenses, process invoices, and maintain accurate event records
Essential Duties & Responsibilities
Event Coordination
- Assist with logistical preparations including material gathering, coordinating store operations, and reviewing Banquet Event Orders (BEOs).
- Represent the brand at events by engaging attendees, distributing tickets, and collecting contact information.
Event Support & Execution
- Manage event set-up and breakdown to ensure smooth operations.
- Communicate with vendors and partners as needed to support event logistics.
- Monitor event flow and guest experience, addressing any issues promptly.

- Flawless execution of events with strong attendee engagement and positive brand representation.
- Efficient coordination with teams and vendors resulting in smooth event operations.
Qualifications & Skills
- 2+ years of experience in event coordination or related roles.
- Strong organizational and multitasking skills with great attention to detail.
- Excellent interpersonal and communication skills to engage guests and collaborate with teams.
- Ability to work a flexible schedule including nights, weekends, and holidays.
Working Conditions
- Hybrid role involving remote work, on-site presence at properties, and off-site event attendance throughout the Chicago market.
- Flexible hours required to accommodate event schedules, including evenings, weekends, and holidays.
Safety & Other Requirements
- Adherence to all safety rules and immediate reporting of any workplace injuries.
- Clear and professional communication skills in English.
- Ability to present information clearly and respond to inquiries from staff and vendors.
Physical Requirements
Ability to stand, walk, handle materials, talk and hear during events; visual acuity for event setup; professional and approachable demeanor representing the brand.
