Job summary

Lake Austin Spa Resort is seeking a Group and Events Coordinator to support spa and overnight resort group bookings and events. The role involves coordinating social and corporate groups before arrival and during stays, reporting to the Director of Revenue, and collaborating with Sales Managers, Spa Director, F&B, and activities teams.

The ideal candidate is highly organized, detail-oriented, and skilled in client presentations, contracts, and maintaining accurate group documentation.

Lake Austin Spa Resort is seeking a Group and Events Coordinator

This role aims to support both spa and overnight resort group bookings and special events through coordinating both social and corporate group events before arriving on the property and while the guests are on the property and conduct site inspections for prospective groups and events. This position will report directly to the Director of Revenue and works closely on property with the Sales Managers, Spa Director, Food and Beverage, and activities teams.

The ideal candidate should be able to do the following:

Job responsibilities

• Be highly organized and detailed oriented
• Ensure that all business is booked within resort parameters
• Conduct property site inspections and give client presentations.
• Create contracts and other related booking documentation as required
• Manage and maintain client account files and tracks in the Sales platform
• Build and maintain strong client relationships
• Detailed events for spa and resort groups to include organizing all food & beverage, ensuring and assisting in meeting space set up, delivering room drops, and assisting in meeting audio-visual needs
• Ensure proper amenities are sent to VIPs in groups
• Ask appropriate questions of the clients and make suggestions to ensure the details meet the group and the resort’s needs
• Create BEOs, group resumes, and communicate client needs to all resort departments. Ensure resort staff follows through on all requests
• Greet clients at events to ensure outstanding service and follow up once complete with soliciting feedback and time to re-book

Qualifications

Required

• 1-2 years of event coordination experience, preferably in luxury resort, destination resort, or hospitality environment
• Demonstrated success achieving deadlines
• Excellent verbal and written communication skills
• Proficiency with CRM systems, Microsoft Office Suite, and/or hospitality sales software.
• Ability to travel as needed for client meetings and industry events
• An interest in wellness and the destination spa community

The Details:

Schedule: This role is fully onsite, requiring the employee to perform all duties in person at our location. Monday to Friday is the regular schedule; however, many events are on the weekends, and this role is with the guests on property during those events so the schedule will vary based on the guests needs.
