Event and Continuing Education Specialist
  • Salary Range: $58,000 - $60,000 per year
  • Hours: 40 hours per week

The Event and Continuing Education Specialist develops, plans, and executes National University of Natural Medicine’s events and Continuing Education programs from concept through follow-up. The position identifies new event and CE opportunities, builds programming that supports department revenue goals, and manages event logistics, registration, vendors, speakers, technology, communications, budgets, and CE administration needed for successful events. The Specialist will work across the university and health center to deliver events that support NUNM’s mission, engage the community and professional audiences, and generate revenue.

This role is based on NUNM’s Portland campus with regular presence at campus events and requires flexibility for evening and weekend work aligned with the university’s event calendar. Some local travel is required to represent NUNM at external events and community gatherings.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Event Planning and Logistics

  • Coordinate the planning and execution of NUNM events, including CE programs, university ceremonies and milestones, campus events, community events, and external events where NUNM participates as a partner or exhibitor.
  • Serve as the primary point of contact for departments and individuals requesting event support, helping define event needs, establish timelines, and coordinate resources.
  • Source and coordinate event vendors including caterers, rental companies, decor and floral providers, photographers, and other event service providers.
  • Coordinate with the AV/IT department to arrange equipment, staging, livestreaming, and technical support for in-person, hybrid and virtual events.
  • Communicate with speakers and presenters to gather bios, headshots, presentation materials, and technical requirements, and to provide them with logistics, honoraria details, and other event information.
  • Develop and manage event budgets and timelines; track expenses and process vendor invoices and payments.
  • Manage room reservations, room setup/breakdown, signage, parking, and campus logistics for on-campus events.
  • Recruit, brief, and coordinate staff and volunteers for day‑of event support, including registration tables and hospitality.
  • Identify potential new events for NUNM to host, as well as external events, conferences, or community gatherings where NUNM’s presence or participation (such as an exhibitor table) would be valuable.
  • Maintain a master event calendar and ensure timely communication across departments to avoid scheduling conflicts.
  • Conduct post-event debriefs and gather feedback to improve future events.

Continuing Education (CE) Program Coordination

  • Partner with NUNM staff to determine CE conference themes and secure speakers and translate program concepts into fully executed events.
  • Prepare and submit CE credit applications to relevant accreditation bodies, and track approvals, renewal deadlines, and reporting requirements for each program.
  • Coordinate speaker agreements for CE programs, including contracts, honoraria, disclosure forms, and required accreditation documentation.
  • Build and maintain event listings and registration pages on the NUNM website and any third‑party registration platforms.
  • Communicate event logistics — schedule, location or online access, materials, and any prerequisites — to registered attendees before, during, and after each program.
  • Track attendance and issue CE certificates or certifications to attendees in accordance with accreditation body requirements.
  • Maintain accurate CE program records to support audits and accreditation renewals.

Community and External Events

  • Research and identify conferences, community and professional events, and other opportunities where NUNM’s participation may support institutional or community engagement goals.
  • Coordinate NUNM’s participation in approved external events, including registration, exhibitor logistics, materials, staffing, and follow‑up.
  • Support the development of new events and community engagement opportunities.
  • Help maintain relationships with community organizations, event partners, and external vendors.

Marketing and Communications Coordination

  • Coordinate with the Marketing team to ensure event information, registration details, promotional materials, and deadlines are communicated accurately and timely.
  • Provide Marketing with event details, speaker information, schedules, images, and other content needed for promotion.
  • Ensure event materials and communications follow NUNM’s established brand standards and messaging.
  • Support event‑related website updates and registration communications as needed.
  • Coordinate the collection and organization of event photos, recordings, presentations, and other materials for institutional records and future use.

EDUCATION/EXPERIENCE

Bachelor’s degree and 2+ years of experience coordinating events, ideally including both in‑person and virtual/hybrid formats, or equivalent combination of education and relevant experience.

Required
  • Strong organizational skills with the ability to manage multiple events and deadlines simultaneously.
  • Excellent written and verbal communication skills, with a professional, service‑oriented approach to working with vendors, speakers, and colleagues across departments.
  • Comfort with event registration and website content tools, and general proficiency with office/productivity software.
  • Ability to work occasional evenings and weekends for events, and to travel locally for off‑site and community events.
  • Ability to lift and transport event materials (up to approximately 25–30 lbs) and to be on your feet for extended periods during events.
Preferred
  • Experience coordinating Continuing Education or professional‑development programming, particularly in a healthcare, academic, or licensing‑body context.
  • Familiarity with CE accreditation processes and reporting requirements.
  • Experience in higher education, healthcare, or a mission‑driven nonprofit setting.
  • Experience with event or registration platforms (such as Course Merchant, Eventbrite, or a comparable system) and website content‑management systems.
  • Interest in or familiarity with natural and integrative medicine.
