  • Ensure reception area remains clean and organized.
  • Attend events as necessary and support related duties.

JOB SUMMARY

The Evening-Weekend Registrar is responsible for the management of class and event registration, monitoring student enrollment, art sales, communication with the public and for general administrative support.

ESSENTIAL DUTIES AND RESPONSIBILITIES (Other Duties May Be Assigned.)
  • Oversee class registration and student enrollment.
  • Attend to client class registration needs.
  • Maintain and update class registration database.
  • Process and distribute necessary forms for enrollments, supply lists, directional class locations, maps, etc.
  • Process cash receipts, class refunds and credits.
  • Answer phones and direct calls.
  • Warmly greet, direct and assist students and visitors, provide knowledgeable assistance.
  • Respond to student and visitor requests. Remain current with WAC class schedules, events, policies and procedures in order to accurately to inform students and visitors.
  • Tactfully handle stressful situations and demonstrate quick problem-solving abilities
  • Schedule facility rentals.
  • Handle, process, and record art sales.
  • Assist with processing of guest and label lists for exhibitions and special events.
  • Regularly survey the facility in efforts to help maintain its safety and security.
  • Complete opening and/or closing procedures efficiently and accurately.
  • Ensure that reception area is clean and organized.
  • Assist with and attend events as necessary.
  • Perform related duties, special assignments and projects as required.
Education And Experience
  • Bachelor's degree in relevant discipline.
  • 2+ years administrative experience in a cultural nonprofit or academic environment preferred.
  • Excellent verbal, written communication, and interpersonal skills; ability to build relationships with key constituencies.
  • Excellent problem-solving skills, flexibility, creative thinking, and ability to bring problems to a successful resolution.
  • Computer proficiency, including experience with Microsoft Office and Teams. An aptitude for technology and ability to learn other platforms as needed.
  • Ability to exercise sound judgement, maintain a high degree of confidentiality and ability to identify and avoid conflicts of interest.
  • Appropriate and professional behavior dealing with staff, faculty, students, volunteers, guests, and visitors.
  • Strong project management skills, highly organized with attention to detail.
  • Ability to handle multiple priorities and meet converging deadlines.
  • Self-directed style, ability to work independently, proactively, and efficiently with only moderate direction or supervision; effectively follows through on assignments.
  • Flexible, open to input and sudden changes, comfortable with the unexpected and ability to handle stress diplomatically.
  • Excellent customer service ethic and high expectations for quality.
  • Ability to promote teamwork and collaboration.
  • Flexible with ability to work occasional evenings and weekends as required.
  • Background checks and applicable clearances required.
  • Familiarity with Main Line community and residing within close proximity to Center preferred.
  • Valid driver's license and car.
  • Ability to maneuver or lift 25 pounds.
