Job summary

Artisan Design Group (ADG) is seeking a Specialties Estimating Administrator to provide administrative and coordination support for the Specialties Estimating team. The role focuses on organizing bid and project documentation and ensuring timely communication between Estimating and Operations in a fast-paced residential construction environment.

This is an in-office position in Boynton Beach, FL. Responsibilities include preparing bid materials, supporting transition of awarded projects,

Qualifications

  • High school diploma or GED required.
  • 1–3 years of administrative/estimation or project coordination experience preferred.
  • Experience in construction, homebuilding, flooring, or related industry preferred.
  • Proficiency in Microsoft Excel.

  • Maintain organized files and update company systems and spreadsheets.

JOB SUMMARY

The Specialties Estimating Administrator provides administrative and coordination support to the Specialties Estimating team and assists with the transition of projects from estimating into operations. This position is responsible for preparing, organizing, maintaining, and distributing bid and project documentation while ensuring accurate and timely communication between Estimating and Operations.

The role requires strong attention to detail, organization, follow-through, and the ability to manage multiple priorities in a fast-paced residential construction environment.

This is an in office position.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Prepare, organize, and distribute documentation associated with bids and estimates prepared by the Specialties Estimating team.
  • Assist with the preparation of information and documentation needed to transition awarded projects from Estimating to Operations.
  • Review documentation for completeness and accuracy and follow up on missing or incomplete information.
  • Serve as an administrative liaison between the Specialties Estimating team and Operations to support timely communication and transfer of information.
  • Maintain organized electronic and physical files related to bids, estimates, projects, and supporting documentation.
  • Enter, update, and maintain information in company systems, databases, and spreadsheets.
  • Provide administrative support to Specialties Estimators, including gathering information, preparing reports, organizing documentation, and tracking outstanding items.
  • Assist with tracking bids, awarded projects, and other estimating activities as directed by the Estimating Manager.
  • Communicate with internal departments to obtain information and resolve administrative or documentation-related issues.
  • Assist with identifying discrepancies, missing information, or potential issues that may delay the transition of projects into Operations.
  • Prepare and maintain reports and spreadsheets as requested by the Estimating Manager.
  • Support the Estimating Manager with administrative tasks, special projects, and process improvement initiatives.
  • Maintain confidentiality of company, customer, builder, and project information.
  • Maintain regular and reliable attendance.
  • Work effectively in a team environment.
  • Perform other duties as assigned.

  • Proficiency in Microsoft Office, including Microsoft Excel.
  • Strong written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and prioritize multiple tasks in a deadline-driven environment.
  • Ability to work effectively with employees at various levels of the organization.
  • Strong follow-up skills and ability to identify and resolve administrative issues.
  • Comfortable working with numbers, spreadsheets, and detailed documentation.
  • Ability to learn and effectively use company systems and software.
