About the Role

Gray Summit Roofing is looking for an Estimate and Invoice Coordinator to own the paperwork that turns a completed roof into a paid claim. This is a detail-critical office role focused on writing insurance supplements and contractor estimates, working with insurance carriers to get those estimates approved, and following up with both carriers and customers to get payments released and collected.

You'll work mostly independently on your own queue of claims, but you'll coordinate with our production team and office staff every day to keep projects moving. If you're precise by nature, comfortable juggling several claims at once, and you'd rather keep things moving quickly than sit on repetitive busywork, this role will suit you well.

Key Responsibilities

• Supplements & Estimates: Write accurate insurance supplements and contractor estimates that capture the full scope of each project.
• Insurance Approvals: Follow up with insurance carriers to get estimates and supplements reviewed and approved, and work through any pushback or documentation requests.
• Collections: Follow up with insurance companies and customers to get payments released and fully collected, by phone, text, and email.
• Invoice Accuracy: Update invoices so they match final insurance settlements - reconciling scope, change orders, and figures line by line.
• Daily Coordination: Partner with production and office team members to confirm project details, resolve questions, and keep each claim on track.

What This Role Is Not

This position is not a data-entry or bookkeeping seat. You will not run job costing, prepare recurring financial reports, or work in QuickBooks. The focus is on moving claims forward accurately and quickly, not repetitive analysis.

• Attention to Detail: This is a high-accuracy role. You need a sharp eye for discrepancies between estimates, invoices, and insurance paperwork.
• Adaptability & Pace: Claims change and priorities shift. You should be comfortable adjusting on the fly and keeping several things moving at once in a fast-paced environment.
• Communication & Collaboration: You'll coordinate with teammates daily and stay professional and persistent when following up with carriers and customers.
• Coachable: No roofing or insurance background required — we train the right person from the ground up. Entry-level candidates are welcome.
• Reliability: Full-time, in-office position at our Pacific, MO shop.
