Responsibilities

  • Coordinate high-volume summer hospitality, arrivals, events, and staffing needs.
  • Ensure seamless bi-coastal handoffs and privacy protection.

Job description

A bi-coastal private principal is seeking an experienced Estate Manager to lead day-to-day operations across two East Coast properties: a large residence in New York City and a multi-residence estate in the Hamptons. This is a senior role that will bring structure, communication, and 5 star hospitality standards to a household.

The Estate Manager owns the daily rhythm of both properties, directs household and seasonal staff, and serves as the connective tissue when the principal moves between homes. You will brief the next team on the principal's preferences, routines, and current needs so nothing falls through the cracks. Strong experience in renovations and construction management as well as event coordination are key.

The right person is organized, hands-on, and calm under pressure, with strong communication skills and the seniority to manage staff, vendors, and guests. You will partner with the West Coast House Manager and Chief of Staff to preserve seamless standards across all properties.

Key Responsibilities
  • Manage daily operations across the New York townhouse and the Hamptons estate, including main house, guest house, and the new residence under construction
  • Direct and support household staff, including live-in and seasonal housekeepers and a junior houseman, and other contractors
  • Oversee any repairs, renovations, or construction projects, working in conjunction with the principal’s longstanding owners representative.
  • Implement, update and maintain all household manuals, SOPs and preventative maintenance lists to deliver flawless daily operations.
  • Own household operational budgets, demonstrating a fiscally sound and sensible approach to spending.
  • Source, vet, and manage all vendors, ensuring that all work is completed on time, budget and to the highest standard.
  • Coordinate high-volume summer hospitality in the Hamptons, including guest arrivals, events, and staffing needs
  • Ensure someone is on property to receive guests so that they receive the highest level of service
  • Own bicoastal handoffs: brief the incoming team on the principal's preferences, routines, and current needs each time he moves between properties
  • Protect the principal's privacy and maintain strict confidentiality at all times
Qualifications
  • Proven experience managing a multiple luxury properties
  • Strong staff management skills; able to direct, coach, and hold a team accountable
  • Excellent communication and the discipline to run consistent handoffs and check-ins
  • Demonstrates a hospitality forward approach to the job; the Hamptons summer season is entertainment-heavy
  • Proven renovation and construction management experience, can navigate the intricacies of the process, work with GCs, owners reps, etc.
  • Tech-proficient with Signal, Crestron, OneDrive, Outlook, Microsoft Office, and Excel; comfortable adopting new estate software such as Nines
  • Highly organized with strong attention to detail and follow-through
  • Discreet, professional, and trustworthy with a strong sense of confidentiality
  • Self-starter who can operate independently and anticipate needs
  • Willing to relocate to and be based in New York City
  • Available on property in the Hamptons from mid-June through Labor Day
Location

New York City based (relocation required). On property in the Hamptons mid-June through Labor Day; New York as needed.

Compensation

$225,000 to $275,000 DOE, a comprehensive benefits package (including PTO, paid sick leave, and 401(k) with employer match) + discretionary bonus.

Schedule

Full-time Monday-Friday with flexibility to work longer days or weekends when needed. Must be available to be based out of the Hamptons mid-June through Labor Day.
