Vertiv seeks a Shift Workforce Coordinator to support a 24/7 manufacturing operation on site. This role partners with Operations and reports to the HR Manager to oversee attendance, staffing coordination, and timekeeping.

You will act as a primary employee contact and help with access requests, benefit inquiries, and policy communications. Responsibilities include coordinating overtime, onboarding temporary staff, auditing timecards, generating workforce reports, and ensuring smooth handoffs

Qualifications

  • High school diploma or GED required; associate degree preferred in HR, business administration, or operations.
  • 3 years of experience in manufacturing, workforce administration, scheduling, payroll support, or HR coordination preferred.
  • Experience with timekeeping, payroll, HRIS, or workforce management systems preferred.
  • Strong customer service orientation and ability to handle confidential information with discretion.

Responsibilities

  • Act as primary contact for employee questions and requests during shifts.
  • Assist with attendance administration, PTO balances, payroll concerns, and benefits questions.
  • Coordinate overtime, staffing, and onboarding of temporary employees with staffing agencies.
  • Audit timecards, run attendance and workforce reports, and communicate results to supervisors and HR.
  • Support onboarding, SOJT documentation, and training progress tracking.
  • Maintain employee communications, job bids, postings, and policy-related information.
  • Escalate serious concerns to supervisors or HR as needed and protect confidentiality.

Responsibilities
Employee Support
  • Serve as a primary point of contact for employee questions and requests during assigned shifts.
  • Notify employees of emergency phone calls and urgent messages.
  • Assist employees with Okta account activation, multi-factor authentication, password resets, ADP access, and electronic pay stub retrieval.
  • Coordinate employee access requests and communicate system access status.
  • Respond to routine employee questions regarding PTO balances, benefits, payroll concerns, attendance policies, and 401(k) plans.
  • Submit employee information change requests, including address and emergency contact updates.
  • Assist employees with internal job bidding processes.
  • Facilitate communication between employees, supervisors, and Human Resources, particularly during off-shift hours.
  • Maintain and distribute employee communications, including job bids, announcements, postings, and toolbox talks.
  • Receive employee resignations and communicate information to Human Resources and other stakeholders as appropriate.
Workforce Administration and Coordination
  • Coordinate employee separation notifications and ensure timely communication to Human Resources, Payroll, Information Technology, Security, staffing agencies, and other applicable stakeholders.
  • Manage the employee call-in line and document attendance-related communications.
  • Maintain volunteer overtime sign-up lists and related records.
  • Review employee absences and staffing needs and coordinate overtime coverage in accordance with established practices.
  • Coordinate overtime coverage for planned and unplanned absences.
  • Assist with maintaining overtime equalization and staffing records.
  • Review attendance and timekeeping reports to identify discrepancies, anomalies, and potential errors.
  • Audit timecards and attendance records and coordinate issue resolution with supervisors, Payroll, and Human Resources.
  • Run workforce reports and provide attendance, absenteeism, and workforce-related metrics for operational reporting and key performance indicators.
  • Assist with maintaining accurate employee job and position records.
  • Support workforce transition activities and shift handoffs by gathering and communicating employee information as needed.
  • Maintain workforce records and documentation in accordance with company policies and procedures.
Employee Relations and Accommodation Support
  • Serve as an initial point of contact for employee concerns, workplace complaints, accommodation requests, and policy-related questions.
  • Provide required forms and instructions for ADA and religious accommodation requests.
  • Notify Human Resources and Benefits of accommodation requests and other employee concerns requiring follow-up.
  • Gather basic information related to employee concerns and communicate appropriate details to Human Resources.
  • Exercise sound judgment in determining when issues should be referred to supervisors or escalated to Human Resources.
  • Immediately escalation harassment complaints, ethics concerns, discrimination allegations, threats, workplace violence concerns, and other significant employee relations matters.
  • Maintain confidentiality when handling employee information and workplace matters.
Staffing, Onboarding, and Training Support
  • Serve as the primary point of contact for temporary employees arriving on the production floor.
  • Coordinate with staffing agencies to ensure temporary employees are properly onboarded, equipped with required PPE, and prepared for assignment.
  • Conduct routine check-ins with new temporary employees to assess onboarding effectiveness, training progress, scheduling concerns, and overall employee experience.
  • Communicate workforce-related information to staffing partners as needed.
  • Assist supervisors in following up on training completion and Skills Observation Job Training (SOJT) documentation.
Operational Support
  • Notify appropriate departments regarding inbound or outbound truck activity as required.
  • Support special projects and workforce administration activities as assigned.
Qualifications
Education and Experience
  • High school diploma or GED required.
  • Associate degree in Human Resources, Business Administration, Operations, or a related field preferred.
  • Three years of experience in manufacturing, workforce administration, scheduling, employee support, payroll support, Human Resources coordination, or a related field preferred.
  • Experience working in a manufacturing or industrial environment preferred.
  • Experience using timekeeping, payroll, HRIS, or workforce management systems preferred.

  • Working knowledge of attendance, payroll, benefits, and workforce administration processes preferred.
PHYSICAL & ENVIRONMENTAL DEMANDS
  • Ability to sit, stand, and walk for extended periods throughout the workday.
  • Frequent use of computers, telephones, and standard office equipment.
  • Ability to occasionally lift, carry, push, or pull up to 20 pounds.
  • Ability to move throughout the facility to support employees, supervisors, and operational activities.
  • Work is performed in both office and manufacturing environments.
  • Regular exposure to manufacturing operations, including varying temperatures, noise levels, moving equipment, and production activity.
  • Required use of personal protective equipment (PPE) when entering designated production areas.
  • Supports employees on an assigned shift schedule aligned with operational requirements, which may include evenings, nights, weekends, holidays, or alternative schedules.
  • Serves as the primary workforce support resource during assigned shift hours, including periods when Human Resources personnel may not be onsite.
